Construction Site Administrative Coordinator & Data Entry Specialist

OVERVIEW: I am hiring a detail-oriented administrative professional to handle critical administrative, data entry, and coordination tasks for an active construction project. This is a hands-on role requiring strong organizational skills, prompt communication, and the ability to multitask in a fast-paced environment. **IMPORTANT – HOW THIS WORKS:** The list below is a comprehensive summary of all tasks needed across our construction operations. You will NOT be doing all of these tasks initially. Instead, you'll start with specific core responsibilities. As you complete tasks, prove your capability, and demonstrate reliability, you'll take on additional responsibilities and work MORE HOURS. Your workload and hours will grow based on your performance and our needs. REQUIRED AVAILABILITY: • Must be available 7:00 AM – 9:00 PM EST (or your local time equivalent) • Must work during these hours consistently • US Eastern Time Zone preferred • Starting hours may be part-time; expand as you take on more tasks THE FULL SCOPE OF WORK (Not all required initially): • Create and maintain daily attendance sheets for all on-site personnel • Document daily tasks and work assignments for field crews • Organize and track task completion by crew members • Prepare daily PIC (Project Information/Progress) reports • Copy and file signature logs from field daily • Create timesheets with cost codes for payroll daily • Schedule deliveries • Manage scissor lift ordering and track locations on site • Coordinate trucking arrivals and docking slot assignments • Track all inventory: ducts, hardware, materials entering/leaving job site • Maintain comprehensive documentation of all inventory movement • Provide daily manpower and location. • Provide weekly manpower, location, and task reporting via email • Process all material orders for foremen on site • Create PDF purchase orders through purchasing system • Track order status via email with warehouse • Coordinate delivery logistics to site and receiving • Manage on-call responsibilities for manpower and material location inquiries • Process new hire packets (email/scan to office) • Flag and track all site deliveries • Manage Procore Payroll Program YOUR STARTING RESPONSIBILITIES: You'll begin with these core tasks.
