Title: Construction Submittal Manager (Procore) – Part-Time / Ongoing About Us We’re a general contractor using Procore and looking for a Submittal Manager to take full ownership of the submittal process on our projects. Your job is to keep submittals complete, accurate, and moving quickly so our field team and subcontractors always have approved information. ⸻ Role & Responsibilities • Review Specs & Drawings • Review contract documents (plans and specs) to identify all required submittals. • Build a complete list: shop drawings, product data, samples, mockups, warranties, O&M manuals, etc. • Set Up & Maintain Submittals in Procore • Create and maintain the submittal register in Procore, tied to the correct spec sections. • Enter all required submittals, assign responsible subcontractors, and set realistic due dates. • Track each item from “required” to “approved/closed” and keep statuses up to date. • Coordinate with Subcontractors • Request submittal packages from subs through Procore/email. • Review for completeness and basic compliance with specs; flag any obvious deviations. • Follow up proactively so nothing sits idle and critical path items are prioritized. • Route for Design Team Review • Prepare and submit submittal packages to the Architect/Engineer for review (via Procore). • Monitor review times and send reminders to keep the schedule on track. • Log comments / conditions of approval as needed. • Issue Approved Submittals Back to Subs • Distribute approved/annotated submittals back to subcontractors quickly. • Ensure only approved documents are being used for fabrication and installation. • Keep the log updated so everyone (PMs, supers, subs) can see current status at a glance. ⸻ Requirements • Strong experience with Procore submittals (entering, tracking, routing, and closing). • Familiarity with CSI divisions and standard spec organization. • Experience working with US-based GCs or on projects with architects heavily involved in submittal approvals. • Background in commercial construction or similar (GC, CM, or major subcontractor). • Ability to read and understand construction drawings and specifications. • High attention to detail and strong organizational skills. • Good written communication and responsiveness during agreed working hours. • Reliable internet connection and ability to work remotely. Nice to have • Experience with RFIs, RFQs, and change orders. ⸻ Engagement Details • Type: Freelance / part-time, remote. • Scope: Ongoing support managing submittals on active projects. • Compensation: Hourly – please include your rate and a brief summary of similar work.
