About the Role We're looking for a Project Coordinator to manage a high-visibility HubSpot implementation for a membership and events management platform. You'll be the operational hub between our development team and the client, keeping everything organized, on-track, and aligned. This is not a technical role—you're the bridge, not the builder. Your Responsibilities Coordinate discovery workshops (2-3 weeks) — Schedule, attend, take detailed notes, track unanswered questions Maintain project documentation — Create and update decision logs, scope documents, action item trackers Weekly client updates — Send status summaries, flag blockers, communicate progress Weekly development syncs — Get progress updates, surface client concerns to the tech team Manage scope & timeline — Spot scope creep early, push back on out-of-scope requests professionally Facilitate UAT — Coordinate client testing phases and sign-offs Own follow-ups — Every action item, every deadline, every clarification—you track it Skills We're Looking For Must-Have: 2+ years project coordination experience (SaaS, software, or consulting preferred) Client-facing communication skills—clear, professional, proactive Strong organizational skills and attention to detail Comfortable with project management tools (Asana, Monday.com, Jira, etc.) Basic understanding of CRM platforms (HubSpot, Salesforce, Pipedrive, etc.) Initiative-taker—you identify next steps without waiting for direction Nice-to-Have: Experience with CRM implementations or integrations Familiarity with Stripe, MYOB, or Moodle Background in tech/software projects Ability to spot contradictions and misalignments before they blow up What Success Looks Like Client feels informed and confident every week Development team never has to chase you for status updates Scope creep is caught and handled tactfully Every decision is documented and traceable No surprises at UAT—because you've been coordinating all along
