Summary

We are seeking a dependable, adaptable, and highly organized Creative Marketing & Administrative Assistant to provide hands-on support to the CEO of a motivational, faith-based media and empowerment brand. This is a collaborative role that combines graphic design, short-form video editing, digital marketing, website and platform management, administrative assistance, and project coordination. The ideal candidate is creative, technically capable, an excellent communicator, and comfortable working directly with the CEO during scheduled live work sessions. Our work moves quickly, and priorities may shift as new projects, campaigns, events, media opportunities, and client needs arise. We are looking for someone who can remain organized, communicate clearly, take initiative, and follow projects through to completion. Schedule and Virtual Work Environment Work is scheduled Monday through Friday within the general availability window of 9:00 AM–10:00 PM Central Time. Specific working hours and weekly availability will be discussed and agreed upon based on the candidate’s experience, availability, and the needs of the role. * Work will be completed during the live virtual sessions using Google Meet. * During designated live sessions, the assistant must be comfortable keeping their camera on and sharing their screen to support real-time collaboration, training, productivity, and account security. * A dependable computer, strong internet connection, professional virtual work environment, and consistent availability are required. Key Responsibilities Graphic Design and Creative Support * Design professional social media graphics, flyers, presentations, promotional materials, digital products, and branded marketing assets. * Maintain visual consistency across multiple brands, campaigns, platforms, and projects. * Work primarily in Canva while also using Adobe Creative Suite or other design tools when needed. * Resize, revise, and repurpose existing designs for different platforms and formats. * Follow brand guidelines and respond professionally to creative feedback and revision requests. Video Editing and Short-Form Content * Edit engaging Reels, short-form videos, promotional clips, interviews, testimonials, and other video content. * Add captions, music, transitions, graphics, branding, hooks, and calls to action. * Repurpose longer videos, livestreams, interviews, and broadcasts into shorter social media content. * Edit primarily with CapCut and Canva, with Adobe video-editing experience considered an advantage. * Assist with organizing and managing video files and content libraries. Social Media and Content Management * Assist with content development, scheduling, publishing, and platform management. * Research relevant trends, content ideas, sounds, hashtags, competitors, and marketing opportunities. * Prepare captions, organize content calendars, and help ensure content is published consistently. * Support Meta platforms and other social media channels. * Assist with basic social media advertising or campaign setup when needed. GoHighLevel and GoKollab Support * Assist with managing contacts, forms, funnels, landing pages, workflows, email campaigns, automations, calendars, and other assets within GoHighLevel. * Help maintain online communities, courses, memberships, and digital resources within GoKollab. * Test links, forms, pages, emails, automations, and customer journeys before campaigns are launched. * Upload and organize content, products, resources, and member information. * Troubleshoot basic platform issues and communicate clearly when technical assistance is required. Candidates with direct GoHighLevel and GoKollab experience are strongly preferred. Applicants should also be willing and able to learn platform features that they have not previously used. Wix Website and E-Commerce Support * Update and maintain Wix websites, landing pages, blog content, product listings, images, links, and e-commerce information. * Assist with publishing new products, services, programs, events, and promotional campaigns. * Review website pages for accuracy, formatting, mobile responsiveness, and broken links. * Coordinate website updates with current marketing priorities and launch schedules. Email Marketing and Communications * Assist with newsletters, email campaigns, customer communications, outreach, and follow-up. * Draft and format professional emails, announcements, and basic marketing copy. * Communicate with vendors, partners, clients, applicants, and team members when assigned. * Maintain a professional, warm, and clear communication style that reflects the brand. Administrative and Executive Assistance * Help maintain and monitor the CEO’s calendar, appointments, deadlines, meetings, and follow-up items. * Monitor assigned email communications and identify messages requiring action. * Make professional phone calls and conduct follow-up outreach when requested. * Research vendors, partnerships, media opportunities, speaking opportunities, events, and other business needs. * Organize files, documents, contact information, notes, and digital assets. * Prepare meeting notes, task lists, status updates, and basic reports. * Handle confidential business information with discretion and professionalism. ClickUp Project and Task Management * Use ClickUp to manage tasks, deadlines, priorities, project updates, and recurring responsibilities. * Keep task statuses, notes, attachments, due dates, and progress information current. * Follow up on incomplete or blocked assignments. * Work with the CEO, project manager, contractors, and other specialists to support the timely completion of projects. * Communicate proactively about delays, questions, missing information, or potential risks. Livestream and Virtual Event Support * Assist with the setup and coordination of livestreams, interviews, webinars, virtual events, and recorded programs using StreamYard. * Prepare graphics, titles, banners, videos, links, guest information, and other broadcast assets. * Support basic behind-the-scenes production and technical coordination when needed. * Help organize and repurpose livestream recordings after broadcasts. Marketing Research and Operational Support * Research market trends, partnership opportunities, sponsorships, events, media opportunities, and promotional strategies. * Assist with applications, submissions, outreach, and follow-up. * Conduct vendor and competitor research. * Support basic analytics, backend operations, quality-control reviews, and campaign preparation. * Complete other creative, marketing, administrative, and operational duties as assigned. Ideal Candidate The strongest candidate will be: * Highly organized, dependable, responsive, and detail-oriented. * A strong written and verbal communicator. * Creative, resourceful, and capable of producing professional visual content. * Experienced in editing Reels and short-form video content. * Comfortable receiving feedback and completing revisions efficiently. * Able to manage several assignments without losing track of priorities or deadlines. * Proactive about asking focused questions and providing progress updates. * Comfortable working in a fast-paced environment where priorities may change. * Able to work independently while also collaborating closely during live work sessions. * Respectful of the organization’s Christian values, motivational mission, and commitment to empowering others. * Committed to confidentiality, professionalism, and consistent follow-through.
