We are seeking an autonomous, highly organized, and systems-driven Creative Operations Virtual Assistant to manage our digital workspace database, clean up our master inventory tracking sheets, and administer our multi-channel B2B/B2C brand pipelines. This is a long-term, contract-to-hire retainer opportunity for an operational professional who loves structure, data integrity, and high-end visual asset execution. ๐ WORKFLOW & COMPENSATION STRUCTURE To ensure a seamless fit, our onboarding begins with a highly focused, paid trial phase to benchmark our workflow. Phase 1 (Milestone 1 - Onboarding Trial): Budget: $50.00 Scope: Execute asset production and data logging for an initial test batch of exactly 6 artworks. Video Deliverables: Process 6 raw smartphone video files into high-retention short-form loops (TikTok, IG Reels, and LinkedIn B2B) following our exact technical pipeline rules (no watermarks, precise aspect ratios). Graphic Deliverables: Format 6 artwork assets into exact dimensions for digital marketing mockups using Photoshop or Canva. Data & SEO Deliverables: Log these 6 pieces flawlessly across our master inventory spreadsheet blocks (including dimensions, asset links, platform status, and standardized SEO metadata tracking). Phase 2 (Milestone 2 - Backlog Migration): Budget: $200.00 Systematically process and clean up our historical 100-row artwork inventory backlog in structured weekly batches. Phase 3 (Milestone 3 - Campaign Launch): Budget: $250.00 Transition into active campaign logs, B2B designer outreach tracking, and Mailchimp synchronization. Long-Term Retainer: Upon successful completion of these initial milestones, this transitions into a steady $400.00/month retainer for ongoing inventory updates, asset logging, and operational management. Note: All deliverables for each milestone must be uploaded to our shared workspace folders for layout verification prior to milestone release requests. ๐ฏ THE IDEAL PROFILE Experience: Prior administrative support for creative e-commerce brands, fine art galleries, or luxury design channels (experience formatting assets for Art Storefronts, Shopify, or high-ticket B2B design portals is highly valued). Data Discipline: Exceptional proficiency in Google Sheets. You understand the importance of strict data entry, keeping column layouts clean, cell-wrapping integrity, and double-checking text strings for zero typos. Asset Production: Competent in Premiere Pro, CapCut, or Photoshop to apply clean short-form video adjustments (speed ramping, smooth keyframe pans, aspect ratio cropping) to premium brand standards. B2B Sourcing Awareness: Prior experience or familiarity with administrative outreach coordination, tracking leads, or managing CRM rows for business-to-business targets (designers, architects, firms).
