Data Migration Specialist Needed Urgently

Urgent Data Extraction & Archiving from EasyBuild (The Access Group) Project Overview We urgently require an experienced data migration specialist to assist with the extraction, interpretation, and archiving of historical data from EasyBuild (The Access Group). We are no longer under contract and need to ensure we retain access to our historical records for compliance and record-retention purposes, particularly in the event of an HMRC audit. EasyBuild has advised that any data export will be provided in ASCII format. We require a specialist who can advise on the extraction process, review the exported data, and convert it into a usable and accessible format. Objectives Our primary objective is not a full system migration but the creation of a reliable historical archive that: Preserves financial and project records. Can be accessed without an EasyBuild licence. Provides sufficient detail for HMRC audit and compliance requirements. Is organised in a clear, readable format. Maintains relationships between records where possible. From a compliance perspective, we want to ensure that all records required to support potential HMRC enquiries or audits are retained and accessible. This may include (but is not limited to) nominal ledger transactions, sales and purchase ledger records, CIS data, project costing information, invoices, credit notes, payment histories, audit trails, and any associated document attachments. We are seeking guidance on which datasets should be prioritised for extraction to ensure a complete historical record is preserved. Scope of Work The successful freelancer will: Review EasyBuild's proposed export format and any available documentation. Advise on which datasets should be extracted before access is lost. Work with us during the extraction process. Analyse the ASCII export files. Convert the data into structured Excel workbooks. Map and document the relationships between data files. Assess whether any data can or should be imported into Xero. Create a long-term archive suitable for future reference. Identify and confirm that all key financial and compliance-related records have been included in the extraction. Deliverables Review and guidance on the EasyBuild data extraction. Complete set of exported data converted into readable Excel files. Documentation explaining: - Data structure. - Field definitions. - Relationships between files. - Any limitations in the export. Recommendations regarding Xero import options. A final archive that can be used without future access to EasyBuild. Essential Skills Legacy system data migration. ASCII, fixed-width and delimited text file conversion. Advanced Excel and data modelling. Accounting system migration experience. Xero experience. Understanding of UK accounting records, audit requirements, and HMRC compliance. Urgency This is an urgent project. We are no longer under contract with EasyBuild and need to engage a specialist immediately to ensure all necessary data is identified, extracted, and preserved before access to the system is lost. Experience dealing with EasyBuild, Access Group software, ERP systems, accounting software, or construction industry systems would be highly advantageous.
