Data Migration

We need a detail-focused freelancer to migrate patient files between 2 practice management softwares (Xestro to Halaxy) for a healthcare practice. Patient records and contact details have already been set up in Halaxy, so this role is specifically about migrating the content within each patient file. This is a hiring-immediately role with the work to be completed within the next few weeks. There are roughly 380 patients to work through, some of which are duplicates. The volume of material differs from patient to patient, but for each one the job covers clinical notes, previous testing and results, email and SMS communication history, and additional patient information such as Medicare details. The work itself is copy-and-paste style: opening each patient file in Xestro, downloading the relevant documents and reports (including things like pathology and radiology reports), and uploading them into the matching patient file in Halaxy. Some files will need to be renamed when they're saved, so clear, consistent file naming is part of the job. Clinical notes, communication history, and other patient information (such as Medicare details) need to be transferred in full as well. Accuracy and thoroughness matter more than speed here. Every patient file needs to be checked off completely, nothing skipped or missed, and file names need to be clear enough that anything uploaded is easy to identify later. Alongside the patient file migration, there are two smaller data entry tasks. We have 391 professional contacts (name, email, phone number, and address) already compiled in a document, which need to be added into Halaxy. The same applies to 11 pathology and radiology companies, also already compiled in a document, which need to be added the same way. Prior experience with Halaxy and/or Xestro is a plus but not required. Full guidance on using both platforms will be provided. Because this involves patient health information, confidentiality is essential. You'll be required to sign a confidentiality agreement before starting. All files are to be copied across only, not retained, or shared. Anything downloaded during the transfer process must be removed once uploaded to Halaxy and confirmed.
