Design Marketing Ops Manager

## Background We need a dedicated point person to manage the flow between marketing and brand — someone who can handle intake, prioritize requests, track timelines, and keep things organized. That way, the brand designer can focus on strengthening our brand identity, and marketing can count on a smoother, more predictable process. This role should be **AI-first by default**: someone who reaches for AI tooling to automate the manual, repetitive parts of ops (status recaps, intake triage, documentation, tracking) so their time goes toward judgment calls — prioritization, resourcing tradeoffs, and unblocking people — rather than administrative upkeep. ## **Here's what that role would cover:** - **Serve as the first point of contact for creative requests**, managing intake and clarifying scope, timelines, and resourcing needs using a structured brief template (requesters provide product links, context, and finalized copy upfront before work is scheduled). - **Oversee creative brand operations**, including managing project intake queues, maintaining file organization systems, and keeping the asset management system up to date — with Linear as the single source of truth for task tracking (Notion docs linked from Linear issues, not run in parallel). - **Track deliverables across multiple workstreams** across events, PMM, and social, keeping projects on schedule and surfacing risks early. - **Run AI-assisted async reporting**, e.g. generating weekly recap posts (decisions made, action items, owners) from meeting notes/transcripts, so live touchbases can stay focused on brainstorming and unblocking rather than status updates. - **Manage capacity planning** and help guide decisions around freelance or contractor needs, including a running view of contractor cost vs. output. - Maintain and **improve creative operations processes**, documentation, and standard operating procedures — using AI tools to keep these current with minimal manual upkeep. - **Connect cross-functional partners** and the creative team to ensure alignment and smooth collaboration. - **Own vendor and agency coordination**, including onboarding new design agencies, drafting SOWs, and managing procurement workflows (e.g. Tropic). ## Skills needed: - **2-3 years of experience** in marketing/design ops, creative ops, project management, or a related coordination role. - Comfortable using AI tools (Claude, Notion AI, etc.) as a default part of the workflow — for generating recaps, triaging intake, drafting documentation, and reducing manual busywork — rather than as an occasional add-on. - Skilled in timeline and resource planning, with a track record of keeping complex projects on schedule. - Strong communicator and collaborator, comfortable working across creative, marketing, and external partners. - Experience managing vendor relationships, contracts, and procurement workflows. - Track record of identifying and implementing process improvements to make creative delivery more efficient. - Proficient with Figma, Linear, Notion, and Claude.
