Digital Agency Lead / IT Project Manager - Web, SEO, GHL, and AI Automation

We are Webidea, a US-based digital solutions company helping small and mid-sized businesses improve their websites, local SEO, lead capture, automation, and client follow-up systems. We are looking for a reliable part-time Agency Delivery Lead / IT Project Manager to help manage our client delivery workflow across website projects, local SEO, Google Business Profile optimization, GoHighLevel setup, automation tasks, and internal team coordination. We need someone who can think clearly, organize work, follow up with contractors, check quality, and make sure tasks are completed on time before they reach the client. You will work closely with the founder and help turn client requirements into clear ClickUp tasks, manage freelancers, track project progress, prepare updates, and improve our internal delivery system. Tools We Use You should be comfortable working with or quickly learning: * ClickUp — task management, project boards, SOPs, checklists * GoHighLevel — pipelines, forms, calendars, basic workflows, CRM tracking * Instantly.ai — outbound campaign coordination and lead status awareness * WordPress / Elementor or similar builders — basic project understanding * Google Business Profile — local business visibility basics * Google Drive / Docs / Sheets * AI tools such as ChatGPT for drafting, summaries, checklists, and SOP support You do not need to be an expert developer, designer, or SEO specialist, but you must understand enough to manage these people properly. Main Responsibilities * Convert client requirements into clear ClickUp tasks * Manage website, SEO, GBP, GHL, and automation delivery workflows * Follow up with contractors and make sure deadlines are met * Review work before it is sent to the founder or client * Prepare short internal and client-facing project updates * Track lead/client status across GHL, Instantly, and ClickUp * Maintain delivery checklists and SOPs * Help coordinate designers, WordPress developers, SEO specialists, and GHL specialists * Identify blockers early and report them clearly * Keep projects organized without needing constant reminders * Help us build a repeatable agency delivery system Required Skills * 5+ years of project management, agency operations, or digital marketing coordination experience * Strong ClickUp or similar project management tool experience * Good understanding of website projects and digital marketing workflows * Basic understanding of WordPress, SEO, Google Business Profile, and CRM systems * Native / Fluent English * Very organized and detail-oriented * Able to manage multiple small projects at the same time * Comfortable working with contractors/freelancers * Able to communicate clearly and professionally * Reliable with deadlines and follow-ups * Can work independently without constant supervision Nice to Have * GoHighLevel experience * Local SEO experience * WordPress / Elementor project management experience * Experience working with small business clients * Experience managing remote contractors * Basic understanding of automation tools such as Zapier, Make, or n8n * Experience in a web design, SEO, or digital marketing agency What Success Looks Like You are successful in this role if: * Every project has clear tasks, owners, due dates, and status updates * Contractors know exactly what they need to do * The founder does not need to chase every small detail * Client work is reviewed before delivery * Projects move forward without confusion * Our SOPs and checklists improve over time * GHL, Instantly, and ClickUp stay organized and aligned Compensation & Performance Bonus * Base Rate: $12 – $20 / hour (depending on experience and proven track record) * Performance Bonus: We believe in rewarding strong ownership. In addition to your hourly rate, this role includes a structured recurring bonus tied directly to delivery success. You earn the bonus when: 1. Projects hit their scheduled client delivery deadlines. 2. ClickUp stays 100% accurate without the founder needing to follow up. 3. Quality checks catch contractor errors before the client sees them. (Exact bonus KPIs and structure will be transparently shared during the final interview). Workload This is a part-time role to start. Expected workload: * 5–10 hours per week at the beginning * Potential to grow to 15–25 hours per week as we add more clients * Long-term opportunity if the fit is strong Important Please do not apply if you only want to do basic admin work. We need someone who can help manage delivery, think ahead, organize people, catch problems early, and help us build a reliable digital agency operation.
