Dispatch Service Representative - HVAC & Electrical (Sydney, remote, AEST hours) Sydney-based air conditioning and electrical company looking for a Dispatch Service Representative to keep jobs moving and techs where they need to be. You’ll sit between the office, the field, and the customer. If you like solving scheduling puzzles and closing jobs cleanly, read on. This is a long-term, full-time role. We’re hiring someone who wants to stay and grow with us, not fill a gap for a few months. If you’re job-hopping or treating this as a stopgap, this isn’t for you. Hours Monday to Friday, 7:00am to 4:00pm AEST. Sydney time, no exceptions. The work doesn’t always stop at 4:00pm. Jobs run late, techs hit problems, customers call with issues. You need to be available to stay back when it matters and pick up the phone on short notice. Some weeks are smooth. Some are not. If a hard 4:00pm finish every single day is non-negotiable for you, this isn’t the right fit. The role • Book and schedule sold jobs, matching the right techs and vehicles • Run the dispatch board through the day and adjust on the fly • Call customers to confirm bookings, handle reschedules, walk them through warranty or service requests • Process permits, strata docs, purchase orders, supplier follow-ups • QA completed jobs against contract terms and our standards • Keep ServiceTitan, Google Sheets, and our other systems current • Liaise with vendors on materials, deliveries, returns, warranty claims • Watch routes and tech availability to cut delays and fuel waste • Step in at short notice when the day goes sideways. Cover, reshuffle, fix it You need • Available to work overtime when the job demands it. This is not a clock-watcher role • Reliable and consistent. When you commit to a shift or a task, it gets done • Fluent English with a clear, neutral accent (you’ll be on the phone constantly) • Sharp organisation. Track many moving pieces without dropping any • Confident on the phone. Push back on a tech, reassure a customer • Strong eye for detail. Bad paperwork on permits costs real money • Strong, reliable internet • Quiet workspace. No barking dogs, roosters, traffic, or family noise on calls Bonus • ServiceTitan experience • Strong with Google Workspace (Sheets, Docs, Gmail, Calendar) • Trades, HVAC, or construction dispatch background • Familiar with Australian compliance: energy rebates, strata, permits To apply Tell us about your dispatch or scheduling experience and confirm three things: you can work AEST hours, you’re available for overtime and short-notice cover, and you’re looking for a long-term role.
