Summary

We are a fast-growing mobile diesel repair company serving commercial trucks, fleets, contractors, and businesses across multiple markets in the Southeast. We’re looking for a reliable, highly organized Dispatcher / Customer Service Coordinator to help manage incoming service calls, coordinate our mobile mechanics, communicate with customers, and keep jobs moving from the initial call through completion. This is an important role in our business. You will often be the first person a customer speaks with when their truck is broken down, so we need someone who is calm, professional, responsive, and good at solving problems. What You'll Do Answer inbound customer calls and messages Gather the information our mechanics need, including: - Customer/company name - Exact truck or equipment location - Vehicle type - VIN when applicable - Description of the problem - Photos or additional information when needed - Determine which technician is best positioned to take the call - Dispatch mechanics and communicate job details clearly - Give customers realistic ETA updates - Keep customers informed if schedules or arrival times change - Create and update work orders in our shop management software - Coordinate diagnostic/service appointments - Follow up with technicians regarding job status - Make sure completed jobs are properly documented - Help coordinate parts, scheduling, and follow-up repairs when necessary - Answer basic customer questions about pricing and our service process - Follow up on missed calls and new leads quickly - Help maintain an organized dispatch schedule throughout the day What We're Looking For You are probably a good fit if you: - Speak and write excellent English - Are comfortable handling phone calls with U.S.-based customers - Communicate clearly and confidently - Stay calm when customers are stressed or frustrated - Are extremely organized - Respond quickly and reliably - Are comfortable juggling several jobs at the same time - Have good judgment and can make decisions without needing constant supervision - Are comfortable learning new software - Have a quiet, professional environment for taking calls - Have reliable high-speed internet - Experience We'd Love to See - Experience in any of these areas is a major plus: - Trucking - Diesel repair - Automotive repair - Towing or roadside assistance - HVAC, plumbing, electrical, or other field-service businesses - Dispatching technicians or drivers - Fleet maintenance - Customer service for a service-based company You do not need to be a diesel mechanic, but you should be willing to learn basic terminology so you can communicate effectively with customers and technicians. Software We currently use tools including: Phone/text communication systems Google Maps Slack and other internal communication tools Experience with Quickbooks Online or similar field-service/shop-management software is helpful but not required. What Success Looks Like A great dispatcher makes things feel organized even when the day is busy. - Customers know what's happening. - Mechanics receive complete information before heading to the job. - Calls don't get forgotten. - ETAs are communicated. - Work orders stay updated. - And problems get solved instead of passed around. We're looking for someone who wants to become a key part of the operation as we continue expanding into additional markets. Schedule We are primarily looking for coverage during U.S. Eastern Time business hours, with the possibility of expanded hours as the company grows.
