Summary

About Zimark Zimark is a growing startup selling integrated hardware and software solutions. We purchase components and finished equipment, manage inventory, assemble products, deliver and install equipment at customer sites, and track equipment throughout its lifecycle. We need an experienced ERP and operations consultant to help us design scalable business processes for this environment. The primary responsibility is to help Zimark establish the right operational model for procurement, bills of materials, inventory, assembly, fulfilment, and equipment tracking. The secondary responsibility is to translate those processes into requirements for a purpose-built mini-ERP. We are not implementing NetSuite. However, we want someone who understands how NetSuite or a comparable ERP handles these processes and can help us adopt the right controls without introducing unnecessary complexity. Primary responsibility: Design our operating processes You will work with Zimark’s management, operations, finance, sales, and technical teams to define practical, scalable processes covering: Product, component, assembly, and finished-goods item structures SKU conventions, item masters, units of measure, and product categories Bills of materials, BOM revisions, substitutions, and version control Assemblies, kits, work orders, component consumption, and finished-goods receipt Internal, outsourced, or supplier-managed assembly processes Purchasing, vendor onboarding, quotations, purchase orders, and approvals Demand planning, reorder points, lead times, and purchasing recommendations Goods receipt, partial deliveries, inspection, discrepancies, and returns Inventory by warehouse, location, status, project, customer, and purpose Available, reserved, allocated, in-transit, and customer-located inventory Serial-number and, where relevant, lot-level traceability Sales-to-fulfilment handover for combined hardware and software solutions Equipment delivery, installation, replacement, repair, return, and RMA processes Equipment that remains owned by Zimark while installed at a customer site Three-way matching between purchase orders, goods receipts, and vendor invoices Inventory costing and controlled handover to the external accounting system Roles, approvals, separation of duties, exception handling, and audit trails You will assess how Zimark operates today, identify missing controls and unclear ownership, and recommend processes that are appropriate for a startup—not a heavyweight enterprise implementation. Secondary responsibility: Define the mini-ERP Once the operating processes are agreed, you will help act as the business product owner for Zimark’s mini-ERP. You will: Translate approved processes into clear system workflows and modules. Define the MVP and distinguish essential controls from later enhancements. Produce process maps, business rules, data requirements, and acceptance criteria. Define core records such as items, BOMs, assemblies, vendors, purchase orders, receipts, inventory movements, serial numbers, customers, and installed equipment. Specify statuses, state transitions, permissions, approvals, and exception workflows. Help prioritize and maintain the development backlog. Review product designs and development output against the agreed processes. Define end-to-end test scenarios and support user acceptance testing. Advise on integrations with HubSpot, Dokka, Mesh, Notion, Navan, email, and the external accounting environment. Help identify appropriate uses of AI, including document extraction, matching, anomaly detection, and operational recommendations. Expected deliverables Initial outputs are expected to include: Current-state operational assessment Recommended future-state processes Item, SKU, BOM, assembly, and inventory operating model Procurement, receiving, fulfilment, and equipment-lifecycle workflows Roles, responsibilities, approvals, and control matrix Core ERP data model and source-of-record recommendations Mini-ERP module structure and MVP definition Prioritized backlog with business rules and acceptance criteria Integration requirements and end-to-end test scenarios Required experience We are looking for someone with: Strong hands-on experience in ERP operations, solution consulting, or business process design. Experience supporting a startup, scale-up, or smaller hardware business where processes must be practical and adaptable. Deep knowledge of BOMs, assemblies, inventory movements, procurement, fulfilment, and serial-number tracking. Experience with NetSuite implementation, integration, customization, or operational process design. Understanding of how hardware, software, services, and customer-installed equipment are managed together. Experience defining processes before configuring or building software. The ability to move between operational detail and system-level product requirements. Experience working with operations, finance, supply chain, sales, and software development teams. Strong understanding of controls, audit trails, master data, exceptions, and ERP edge cases. Excellent written and spoken English. Strong advantages Experience building or scaling operations for a hardware-and-software startup Experience replacing NetSuite or moving processes into a custom operational platform Contract manufacturing or outsourced assembly experience Hardware installation, field service, repair, warranty, or RMA experience Familiarity with HubSpot, Dokka, Notion, Mesh, or Israeli accounting systems Experience with AI-assisted ERP or operational automation Hebrew language skills Who this role is for The right person is a hands-on operator and process designer who can tell us how the business should work before defining how the software should work. This is not a role for a general project manager, a software-only product manager, a developer seeking a development engagement, or a NetSuite administrator focused only on system configuration.
