Summary

Ecommerce Operations Manager Overview We are a UK-based ecommerce brand selling baby and children’s swimwear through Amazon and Shopify. The founder has no shortage of ideas, opportunities, projects and growth initiatives. The challenge is turning those ideas into completed projects. We are looking for an Ecommerce Operations Manager who can take ownership of projects, manage freelancers and agencies, build systems and processes, and help drive the business forward. This role is ideal for someone who has previously worked inside an Amazon FBA or Shopify brand and enjoys turning ideas into completed projects. This is NOT a Virtual Assistant role. This is a role for someone who enjoys taking responsibility, solving problems, making things happen, and driving execution. Your Mission Your primary objective is simple: Turn ideas into execution. You will work directly with the founder to: * Prioritise projects * Create action plans * Coordinate execution * Manage deadlines * Build systems and processes * Source and manage freelancers * Reduce the founder’s operational workload * Keep projects moving forward Success in this role means projects get completed without constant founder involvement. Example Projects You may be responsible for managing projects such as: * Shopify website redesign * Amazon listing optimisation * A+ Content and Brand Story creation * Product launches * Inventory and operational improvements * Social media content systems * Email marketing implementation * Freelancer and agency management * AI and automation initiatives * Process documentation and SOP creation You will not necessarily perform all specialist work yourself, but you will be expected to source, manage and coordinate the right people to get the work completed. Responsibilities Project Management * Build project plans and timelines * Manage priorities * Track deliverables * Follow up on outstanding actions * Keep projects moving forward * Identify bottlenecks and propose solutions Freelancer & Agency Management * Source freelancers and agencies * Review candidates * Obtain quotes and proposals * Manage ongoing work * Ensure deadlines are met * Present recommendations to the founder Operations & Systems * Build and improve business processes * Create SOPs and documentation * Maintain project management systems * Organise information and workflows * Implement tools and systems that improve efficiency Reporting * Weekly project updates * Weekly KPI reporting * Highlight risks and bottlenecks * Escalate issues requiring founder decisions * Ensure visibility across all active projects What We Are Looking For Essential * Ecommerce experience * Amazon and/or Shopify experience * Strong project management skills * Excellent written and verbal English * Highly organised * Strong problem-solving ability * Comfortable working independently * Experience managing freelancers or agencies * Ability to prioritise effectively * Strong attention to detail Highly Desirable * Amazon FBA experience * Shopify experience * Product launch experience * Process improvement experience * Experience working in founder-led businesses * Strong understanding of AI tools such as ChatGPT, Claude, Gemini and Perplexity * Experience using AI to improve workflows, research, content creation or business operations Personality Traits You are: * Proactive rather than reactive * Comfortable taking ownership * Solutions-focused * Resourceful * Organised * Calm under pressure * Able to prioritise effectively * Comfortable challenging ideas constructively You are not someone who waits for step-by-step instructions. Example Scenario If the founder says: “We need a better Shopify website.” A strong candidate would: * Audit the current site * Identify key issues * Source suitable agencies or freelancers * Compare options * Present recommendations * Manage implementation * Report progress Rather than waiting for detailed instructions. Another Example If the founder says: “We need a better social media process.” A strong candidate might: * Use AI to generate content ideas and workflows * Build a repeatable content process * Source or manage content creators and editors * Coordinate content production * Ensure content is published consistently * Track results and optimise performance The goal is not simply generating ideas, but ensuring things actually get done.
