Email Deliverability Consultant (Microsoft 365, Cold Outreach & Multi-Domain Audit)

We're looking for an experienced Email Deliverability Consultant to conduct a comprehensive audit of our organization's email ecosystem and help us develop a practical roadmap for improving deliverability across multiple brands. Our company uses email for B2B sales outreach, marketing campaigns, operational communications, and everyday business communication. Over time we've experienced ongoing deliverability challenges, including inbox placement issues, sender and domain reputation problems, occasional blocklist listings, and inconsistent performance across multiple sending platforms. We're looking for someone with deep expertise in email deliverability—not just email infrastructure—to identify root causes, evaluate our current practices, and recommend both immediate improvements and a long-term strategy. We currently use: - Microsoft 365 / Outlook - Outreach.io - SalesHandy - HubSpot - Mailchimp We operate multiple brands, domains, and sending environments across several teams. What We'd Like You To Do: - Review our overall email sending strategy and current practices across sales, marketing, and operational communications - Evaluate sender reputation, domain reputation, authentication, inbox placement, and overall deliverability - Identify historical and current practices that may be harming deliverability - Assess how we're using our various email platforms and provide recommendations - Review our domain strategy, list hygiene, verification, warm-up, and sender management processes - Recommend best practices for cold outreach while protecting our core business domains - Develop a prioritized remediation roadmap with both quick wins and long-term improvements - Present findings in a way that both technical and business stakeholders can understand Ideal Experience We're looking for someone who has experience with: - Microsoft 365 email environments - B2B cold outreach and high-volume email programs - Sender and domain reputation management - Inbox placement optimization - Email authentication (SPF, DKIM, DMARC) - Blocklist diagnosis and remediation - Multi-domain or multi-brand organizations - Platforms such as Outreach.io, SalesHandy, HubSpot, Mailchimp, Apollo, Smartlead, Instantly, or similar - Deliverability tools such as MXToolbox, NeverBounce, ZeroBounce, TrulyInbox, Lemwarm, Google Postmaster Tools, Microsoft SNDS, GlockApps, or similar - Deliverables At the end of the engagement, we'd like: - A comprehensive deliverability assessment - Domain and sender reputation analysis - Platform-specific recommendations - A prioritized remediation roadmap - Email governance and best-practice recommendations - An executive-level summary presentation of findings
