Client Success Coordinator & Executive Assistant (Property Management Bookkeeping Firm) About Us We are a growing bookkeeping firm that specializes in serving property management companies across the United States. We help our clients maintain accurate books, trust accounting, reconciliations, owner statements, and financial reporting. We are looking for a highly organized, proactive team member who can take ownership of our client communications and internal task management processes. Position Overview This role is responsible for managing our shared inbox, ensuring every client communication is acknowledged, assigned, followed up on, and resolved. You will serve as the central hub between clients, bookkeepers, and leadership to ensure nothing falls through the cracks. This is not a passive administrative role. We are looking for someone who takes initiative, solves problems, follows through relentlessly, and requires minimal supervision once trained. Key Responsibilities * Monitor and manage shared client inboxes * Ensure every email receives a timely response * Route requests to the appropriate team member * Create and assign tasks in ClickUp or other project management software * Track open items through completion * Follow up with team members and clients as needed * Maintain organized client records and documentation * Assist with client onboarding and recurring workflows * Support the CEO with special projects and operational initiatives * Identify process improvements and workflow efficiencies * Maintain accountability for outstanding tasks and deadlines Ideal Candidate * Exceptional written communication skills * Strong organizational and project management abilities * Experience managing shared inboxes and client communications * Experience with ClickUp, Asana, Monday.com, Financial Cents, or similar platforms * Comfortable working in a fast-paced remote environment * Able to prioritize multiple competing deadlines * Detail-oriented and highly dependable * Proactive problem solver * Comfortable holding team members accountable for follow-up * Self-starter who can work independently after training Bonus Qualifications * Experience working with bookkeeping, accounting, or property management firms * Familiarity with AppFolio, Buildium, Propertyware, Yardi, or similar software * Executive assistant or operations management experience * Process documentation and SOP creation experience Success in This Role Looks Like * Every client email is acknowledged and tracked * No requests fall through the cracks * Tasks are assigned quickly and followed through to completion * Leadership has visibility into outstanding items * Clients receive timely communication and excellent service * Internal workflows become more organized and efficient Hours Part-time to start with potential for long-term growth.
