(English/Spanish) Virtual Assistant — Auto Body Shop Insurance Follow-Up & Client Communication

About the Role: We are a Miami-based auto body shop looking for a detail-oriented bilingual virtual assistant to manage two core workflows: (1) calling insurance carriers to follow up on open claims, supplements, and approvals, and (2) keeping our clients informed on the status of their vehicle repairs. This is a recurring part-time role with the potential to grow as we scale. You will be the voice of our shop on the phone — professionalism, clarity, and warmth are essential. Responsibilities: - Place outbound calls to US auto insurance carriers (Geico, Progressive, State Farm, USAA, etc.) to follow up on claim status, supplements, photo estimate approvals, and payment timing - Document call outcomes, adjuster contacts, and next steps in our CRM - Proactively contact clients (English or Spanish) with repair status updates, ETAs, and any required communication Respond to inbound client questions via phone, text, and email Coordinate with shop staff to confirm vehicle status before client outreach - Maintain accurate, timely records on every active job Required Qualifications: - Fully bilingual — native or near-native fluency in both English and Spanish (will be tested on a voice call) - Prior US auto insurance, body shop, dealership, or insurance call center experience is preferred - Familiarity with claims terminology: supplements, ACV, OEM vs. aftermarket, total loss, ICAR/I-CAR - Strong phone presence, clear, confident, and professional - Reliable high-speed internet, USB headset, and a quiet work environment - Comfortable with US business hours (9 AM – 5 PM ET) - Excellent written communication for documentation and client texts What We Offer: - Stable, recurring weekly hours - Clear processes and training on our specific workflows - Direct communication with the owner - Long-term growth potential as we expand operations To Apply, Please Include: - A short paragraph about your prior auto insurance or body shop experience.
