Event Project Manager (Contractor/Freelancer) – Hong Kong

Ivory is seeking an experienced Event Project Manager based in Hong Kong to support the planning and execution of a corporate event taking place during the first week of September, with the potential for future project opportunities. This role is ideal for an independent event professional who enjoys managing client relationships, coordinating local event execution, and partnering with a global event team. The Event Project Manager will serve as Ivory's primary local contact for customers, venues, and suppliers while working closely with an Ivory Global Account Lead who owns the overall customer relationship. Responsibilities - Lead local planning and execution for a corporate event in Hong Kong. - Serve as the primary day-to-day contact for local customer stakeholders, venues, and suppliers. - Partner with the Ivory Global Account Lead to align on event strategy, timelines, and deliverables. - Build strong customer relationships and deliver exceptional service. - Manage project plans, timelines, budgets, and key milestones. - Source and manage venues, production partners, caterers, transportation providers, and other suppliers. - Coordinate attendee logistics, communications, registration support, and onsite operations. - Oversee event production, audiovisual requirements, signage, branding, catering, and guest experience. - Provide regular project updates and status reports. - Support onsite event management and post-event reporting. Qualifications Required - 5+ years of event management, project management, hospitality, marketing, or related experience. - Fluent in English and Cantonese (written and verbal). - Experience independently managing customer relationships and event projects. - Strong organizational, communication, and project management skills. - Ability to manage multiple priorities and deadlines. - Proficiency with Microsoft Excel, PowerPoint, Word, Outlook, and Teams. - Comfortable working on a Windows-based PC. - Proficiency with Google Drive, Docs, Sheets, and Slides. - Strong attention to detail and problem-solving skills. - Availability to support onsite event execution during the first week of September. Preferred - Established network of event venues, production partners, and suppliers in Hong Kong. - Experience supporting multinational organizations and global events. - Experience managing budgets and vendor negotiations. - Mandarin language skills. - CMP, PMP, or similar certification. Ideal Candidate - Independent contractor, consultant, or freelance event professional preferred. - Comfortable representing Ivory with customers, partners, and suppliers. - Self-motivated and able to work independently while collaborating with a global team. - Customer-focused with a passion for delivering exceptional experiences and flawless execution.
