Excel Data Cleanup & Master Database Creation (Power Query Preferred)

We are looking for an experienced Excel data specialist to clean, standardize, and organize several existing Excel databases (approximately 5–10 files). The initial project is a one-time cleanup, with ongoing work available for the right person. Initial Project The files contain similar types of information but have different layouts, naming conventions, and formatting. We need them cleaned and standardized into a professional, scalable system. Responsibilities Review and clean 5–10 Excel files Standardize all worksheet layouts and column structures Normalize inconsistent data values (examples: "PGY3", "PGY-3", "PGY 3", "pgy3", etc.) Create consistent formatting and naming conventions throughout Remove duplicates and identify incomplete or questionable records Assign a unique ID to every record Consolidate the data into a single Master Workbook with separate worksheets (or recommend a better structure) Include a source/vendor column for every record Add data validation (drop-down menus) wherever appropriate to improve future data integrity Create Pivot Tables and/or Slicers for reporting and filtering Design the workbook so it can easily accommodate future imports Ongoing Work This will likely become an ongoing project. Periodically, we receive updated data from various vendors. We are looking for someone who can: Import new vendor files Clean and standardize the incoming data Append new records to the master database Prevent duplicate records Maintain consistent formatting and data integrity Document every import (date, source/vendor, file imported, number of records added/updated) Allow for yearly data updates while maintaining historical records Prepare cleaned files for CRM import Ensure all Excel columns are properly mapped to the CRM import fields Ideal Candidate Advanced Microsoft Excel skills Strong experience with data cleanup and standardization Expert with Pivot Tables, Slicers, Data Validation, formulas, and Power Query (preferred) Experience creating scalable master databases Excellent attention to detail Experience preparing data for CRM imports Able to recommend better workflows when appropriate Deliverables Cleaned and standardized Excel files Master Excel database Data validation/drop-down menus Pivot Tables and reporting tools Import/update process documentation Simple written instructions so our team can maintain the files between updates This project has the potential to become an ongoing relationship for monthly or quarterly database updates.
