Executive & Admin Assistant to Real Estate CEO Location: Remote Hours: Full-time (Must be available Monday–Friday, 9:00 AM–5:00 PM CST) Compensation: $2,500–$3,000/month (based on experience and performance) OVERVIEW We're looking for a high-performing Executive Assistant who thrives on ownership, execution, and solving problems. This is not an entry-level admin role. You will be the person who makes sure things get done without needing to be chased or micromanaged. You are highly organized, proactive, resourceful, and calm under pressure. You anticipate problems before they happen, communicate clearly, and take projects from idea to completion. You don't wait for instructions, you create momentum, and own all outcomes. CORE RESPONSIBILITIES - Own executive calendars, scheduling, time management, messages, notifications, and inbox organization - Drive real estate projects from start to finish and ensure nothing falls through the cracks - Follow up relentlessly with team members, vendors, and clients until tasks are completed - Handle administrative tasks quickly and accurately - Coordinate meetings, agendas, and action items - Document processes meticulously and constantly improve operational systems - Identify inefficiencies and implement better solutions - Take client and vendor calls professionally and confidently - Prepare reports, documents, presentations, and spreadsheets - Manage confidential information with discretion WHAT SUCCESS LOOKS LIKE - Deadlines are met without reminders - Problems are solved before they reach leadership - Projects are consistently moved forward - Communication is fast, clear, and proactive - Systems become more organized over time - Leadership has more time because you own the details - Regular reporting on project status and KPI's are handled meticulously & proactively - CEO is off communication platforms NON-NEGOTIABLE TRAITS - High ownership mentality - A-player work ethic - Thick skin and receptive to direct feedback - Positive, energetic, solution-oriented, professional, reliable, resourceful, accountable - Anticipates needs instead of reacting to them; takes initiative without being asked; self-motivated with a high sense of urgency and excellent follow through - Comfortable creating structure where none exists; innovative thinker who improves systems instead of maintaining broken ones - Holds a high personal standard for excellence - Exceptional organization and attention to detail - Strong written and verbal communication; confident on phone and video calls - Comfortable making decisions independently - Able to manage multiple priorities without dropping the ball - Tech-savvy and quick to learn new software - Available during standard business hours (9:00 AM–5:00 PM CST) PREFERRED EXPERIENCE - 3+ years as an Executive Assistant, Operations Coordinator, Project Coordinator, or similar role - Experience supporting founders or executives - Proficient with Google Workspace, HighLevel (GHL), AI software, Asana, Slack, Zoom, project management software, and spreadsheets - Experience coordinating multiple projects simultaneously - Real estate experience/familiarity with RE terminology THIS ROLE IS FOR YOU IF...
