Summary

Executive Assistant to CEO (Operations, Marketing & Administrative Support) We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support a busy CEO who manages multiple businesses, projects, and marketing initiatives. This is not a traditional executive assistant role focused only on calendar management. We are looking for someone who is comfortable wearing multiple hats, following established systems and SOPs, and helping keep both business and personal tasks organized and moving forward. This position is ideal for someone who enjoys organization, problem-solving, communication, research, and supporting a fast-moving entrepreneur. Schedule * Monday, Wednesday, and Friday * 10:00 AM – 2:00 PM Central Time * Remote Position Camera and screen sharing are required during scheduled work hours. Responsibilities Administrative Support * Manage and organize tasks and projects * Schedule meetings and appointments * Maintain calendars and reminders * Follow documented SOPs and company procedures * Assist with client account administration * Add late fees, suspension fees, and account notes when required * Data entry and record management * Assist with operational and administrative projects Email & Communication Management * Monitor and respond to emails * Follow up with clients when needed * Document client feedback and conversations * Assist with customer communication and support * Coordinate communication between team members and vendors Research & Special Projects * Conduct online research * Research vendors, software, products, and service providers * Contact companies to gather information and pricing * Compare options and provide recommendations * Prepare simple reports and summaries of findings Social Media Support * Schedule and publish social media content * Work with social media scheduling tools * Upload posts, captions, and hashtags * Maintain content calendars * Organize social media assets and files Please note: This is not a social media strategy position. We are looking for someone who can execute and manage content that has already been created. Personal Assistant Tasks Occasionally, you may assist with: * Booking flights * Researching and booking hotels * Coordinating transportation * Planning travel itineraries * Researching restaurants, venues, and activities * Scheduling meetings and appointments during travel Ideal Candidate You should: * Have at least 3 years of remote work experience * Have previous Executive Assistant, Administrative Assistant, Operations Assistant, or Virtual Assistant experience * Be highly organized and detail-oriented * Be comfortable managing multiple tasks simultaneously * Have strong written and verbal communication skills * Be comfortable learning new software quickly * Be resourceful and able to solve problems independently * Be comfortable following established systems and SOPs * Be dependable and professional Software Experience (Preferred) Experience with any of the following is a plus: * Google Workspace * Microsoft Office * Social Media Scheduling Tools * Project Management Software * CRM Systems * Calendar Management Software Application Instructions To be considered, begin your proposal with: “READY TO EXECUTE” Then answer the following: 1.
