Job Title: Proactive Virtual Executive Assistant (Self-Starter, Minimal Onboarding) Job Description: Eventnoire, Inc., a boutique event marketing agency, is looking for an experienced, highly self-sufficient Virtual Executive Assistant to support our founder, Jeff. We need someone who can hit the ground running — this is not a role for someone who needs frequent check-ins, detailed instructions, or hand-holding. You should be able to take a task, figure out the best way to execute it, and just get it done. What We Need: Someone who asks smart clarifying questions upfront, then runs with it Someone who spots what needs to happen next without being told Someone comfortable making judgment calls and only escalating true decisions, not routine tasks Someone who documents their own process so we're not re-explaining things twice Responsibilities: Manage and organize Jeff's calendar, scheduling meetings and calls across time zones Monitor email inbox, triage priorities, and draft replies with minimal review needed Prepare client-facing communications (contracts, invoices, follow-ups) using existing templates Track project deliverables, deadlines, and campaign timelines independently Conduct research (vendors, venues, contacts, pricing) and present ready-to-use options, not just raw data Maintain organized documents, contracts, and client files Coordinate directly with clients/vendors on scheduling and logistics without needing approval for routine matters Handle basic bookkeeping tasks (invoice tracking, expense logging) Flag only what genuinely needs Jeff's input — handle the rest Requirements: 5+ years of experience as a Virtual Assistant or Executive Assistant, ideally supporting founders or agency owners Demonstrated ability to work with minimal supervision — please share an example in your application Excellent written and verbal English communication Strong ownership mentality — you treat tasks as yours to solve, not just yours to attempt Comfortable with Google Workspace, Smartsheet, Slack, Zoom, Click Up, GoHighLevel, and more Available for at least a few hours of overlap with U.S. Central Time Nice to Have: Experience in marketing, events, or entertainment industries Contract/invoice drafting experience Familiarity with Mailchimp, Canva, or similar Hours: 8:30 AM CT- 4:30 PM CT Duration: Ongoing, long-term potential for the right fit
