I run a multi seven-figure online course business with over 50,000 students, I'm returning to a professional acting career after 15 years of training, and I'm building a personal brand and media company from the ground up. My life is moving fast and getting bigger — and I need someone in my corner who can support me as I create and run at top speed. This is a high-trust, high-autonomy role for someone who loves keeping a founder's personal world running without being micromanaged. You'll own my calendar, inbox, travel, and projects across my personal and professional life — from managing audition logistics to building SOPs to researching the best gym in a new city. I'm building across multiple dimensions at once: a growing business, a media company, an acting career, and a real social life worth living. This role is the operational backbone that keeps all of it moving. That means real ownership, direct impact, and a clear path from part-time EA to full-time Chief of Staff as the scope grows. The more I build, the more you'll own. If you're proactive, warm, and genuinely good at keeping things moving without a step-by-step checklist, this will feel like the role you've been waiting for. ━━━━━━━━━━━━━━━━━━━━━━━━ WHAT YOU'LL ACTUALLY DO ━━━━━━━━━━━━━━━━━━━━━━━━ • Inbox, calendar, and follow-ups — Own my schedule, handle reschedules, confirm meetings, protect my time, join calls to capture action items, and make sure nothing falls through the cracks. • Travel planning — Book flights, hotels, and ground transport, and own every detail of the trip: logistics, accommodations, where to work, where to train. This extends to personal life logistics — finding great restaurants, coordinating plans with friends, researching experiences worth having. • Relationship management — Maintain a simple tracker of important contacts (collaborators, partners, casting directors, mentors), proactively flag when it's time to reach out, draft follow-up messages after meetings, and make sure key relationships don't go cold. • Pre-meeting research — Before important calls or meetings, prepare a brief on who I'm meeting, what they do, what we last talked about, and what I want to get out of the conversation. I walk in prepared without spending time on LinkedIn. • Opportunity research — Scan for relevant events, auditions, conferences, and networking opportunities that fit my profile, and present a curated shortlist weekly. I say yes or no. You handle the rest. • Hiring support — Run first-round candidate screening and keep the recruiting process moving. • Social media support — Handle the day-to-day operational layer of my Instagram: posting, stories, DM triage, comment responses, and keeping the account warm and active. You're not the creative director, but you're the person who makes sure things actually go out consistently while that infrastructure gets built. • Social and community coordination — Plan and manage recurring events: book clubs, group hikes, movie nights, and other social containers I create. Send invites, manage RSVPs, set up calendar links, send reminders, and own the logistics end to end so I just show up. • SOP building and asset management — Proactively document my preferences and patterns into simple, reusable systems, even when not asked. If you notice I always want the window seat or prefer a certain meeting format, you capture it before I have to say it twice. You also maintain my growing library of footage, photos, graphics, and creative assets so everything is findable when needed. • Project ownership — When I have something I want built or figured out — a new website, a research project, a logistics challenge — you take the high-level goal and own it from start to finish. You figure out the how. • Acting career logistics — Submit to talent agencies, track audition deadlines, manage headshot packages, coordinate with coaches or reel editors, and keep casting profiles current. You don't need industry expertise, just the organizational skills to keep this moving. The common thread: you own things front to end, and you figure out how without a step-by-step checklist. This list reflects where we start. As my world grows, so does the responsibility of this role. ━━━━━━━━━━━━━━━━━━━━━━━━ WHO I'M LOOKING FOR ━━━━━━━━━━━━━━━━━━━━━━━━ • Proactive and resourceful. You communicate clearly, kindly, and confidently. • Native or near-native English fluency. You write and speak at a level where nothing feels like a translation. • High initiative. You don't wait for permission; you propose, execute, and update me. • Discreet. You'll see personal and business details, so trust matters. • AI-forward and AI-comfortable. You use ChatGPT and Claude daily to research, draft, and solve problems, and you figure out the how independently. • Bonus if you have a background in social media, content, graphic design, or marketing. Clear path to $2,000–$2,500/month full-time as the role grows. • Location: Latin America strongly preferred — Colombia or Mexico — for timezone alignment with PST. • Hours: Roughly 20–25 hours per week to start, with overlap during PST mornings (approximately 9am–1pm PST). Growing into full-time as the role develops. • Remote: Fully remote.
