Executive Assistant/Chief of Staff

Seeking a proactive Executive Assistant/Chief of Staff to manage schedules, coordinate travel, and handle administrative tasks. Responsibilities include managing calendars, booking flights and hotels, preparing expense reports, and ensuring smooth day-to-day operations. The ideal candidate will have strong communication skills and be able to work independently. i need this following The role breaks down into a few key areas: 1. Communication and Inbox Management They manage the CEO's email and messages, draft responses, flag what needs attention, and filter out noise. Nothing sits unanswered. They know what the CEO would say and can often say it on their behalf. 2. Calendar and Time Protection They own the calendar. They schedule, reschedule, decline, and prioritise based on what actually matters. They build in prep time before important meetings and recovery time after. The CEO should never open their calendar and be surprised. 3. Project and Team Coordination They track what is happening across the business, follow up on outstanding items with the team, and make sure deliverables actually land. They are the connective tissue between the CEO and everyone else. 4. Preparation and Research Before every meeting or event, the CEO has what they need. Briefing notes, background on the person they are meeting, the agenda, any materials. They never walk in cold. 5. Execution and Follow-Through After decisions are made, the Chief of Staff makes sure things happen. They assign tasks, chase updates, and close loops. They are accountable for momentum. 6. Confidentiality and Judgment This role requires discretion at a very high level. They will be exposed to sensitive business information, relationships, and decisions. Trust is non-negotiable. What This Looks Like Day to Day for My Business Managing my inbox across email and phone and knowing what needs me versus what can be handled Keeping my calendar clean, current, and protected Following up with my team (Estel, Christine, Robbie) on outstanding items Preparing briefing notes before calls and meetings Tracking deliverables across various businesses Drafting communications on my behalf in my voice Flagging anything time-sensitive immediately Supporting event logistics coordination when needed needs to be proactive, anticipate needs and also work independently.
