Executive Assistant | Client Experience & Operations

We are an established professional services company looking for an exceptional Executive Assistant to support our CEO, sales team, and clients. This is not an entry-level position. We are looking for someone who already knows how to support a busy executive, manage competing priorities, communicate professionally with clients, and make sure nothing falls through the cracks. Above everything else, we are looking for someone who genuinely cares about people. Our clients come to us because they need solutions. We take that responsibility seriously, and we want someone who approaches client service the same way. You should be warm and personable while also being highly organized, meticulous, resourceful, and exceptionally accurate. What You'll Do Manage the CEO's calendar, appointments, and Calendly Keep the CEO organized, prepared, and ahead of deadlines Provide white-glove customer service to existing clients Answer incoming calls professionally and route prospective clients to the appropriate team member Assist the sales team with scheduling, follow-up, and administrative support Manage email correspondence and client follow-ups Maintain spreadsheets, reports, records, and internal documentation Work extensively in Google Workspace, including Gmail, Calendar, Docs, Sheets, and Drive Take detailed notes and turn conversations into clear action items Track deadlines, commitments, and open items through completion Identify problems and proactively find solutions Help improve systems and processes as the company grows Make sure the details don't get lost when multiple things are happening at once What We're Looking For Proven Executive Assistant or senior administrative experience Strong calendar and scheduling management skills Experience working directly with clients and customers Professional phone presence Excellent written and verbal communication Strong Excel and Google Sheets skills Proficiency with Google Workspace Exceptional organization and time-management skills Excellent note-taking and documentation Ability to manage multiple priorities simultaneously Comfortable learning new technology and systems quickly Experience with social media or digital marketing is a plus, but not required. You double-check your work, follow through on commitments, and take pride in getting things right. You're also resourceful. If you see a problem, your first instinct is to figure out how to solve it. You don't need someone constantly checking behind you or reminding you what comes next. You're curious, a fast learner, and excited to learn new things. You ask good questions, take great notes, and once you've been taught something, you retain it. Most importantly, you genuinely like people. You're patient, helpful, professional, and understand that how a client is treated matters just as much as completing the task. You work well independently, but you're also a true team player.
