Executive Assistant to Founder

I run a boutique business development and dealmaking firm and need an experienced, senior-level Executive Assistant who can start fast and run with minimal oversight. This is not an entry-level or training role — I need someone who has done this before, knows how to structure a principal's day-to-day without being told how, and can be trusted to just take it and run. What you'll own: -Inbox management — triage, draft responses, flag what actually needs my attention -Calendar and scheduling across time zones, including meeting prep and reminders -Travel planning and logistics -Light task/project tracking so nothing I say in passing falls through the cracks (using Asana) -Drafting correspondence, follow-ups, and simple documents -Ad hoc research and coordination as needed -Tracking and maintennance of a sales and business development pipeline What I need from you: -7+ years of experience as an EA supporting a founder, executive, or entrepreneur — ideally in a fast-paced or entrepreneurial environment, not a large slow-moving corporate one -Excellent written and spoken English -Based outside the U.S., with enough working-hours overlap with U.S. Central/Eastern time to have at least a 3/4 day overlap. -Comfortable working with real ambiguity — I move fast, change direction sometimes, and won't always spell things out. You need to extract the info you need from me efficiently and go make things happen. -Proactive by default — you follow up and close loops without being asked, and you're comfortable pushing back or flagging something rather than just waiting for instructions -You are a finisher. You see things through to completion, tracking every detail along the way. -You love keeping a busy exec on track and youre not affraid to challenge or pester them when you know something needs to get done. -Strong with tools: Google Workspace, Asana, and proficient using AI tools (Claude/ChatGPT) to work efficiently. -Bonus if you have decent bookkeeping skills -An "I figure it out" proactive and learning mindset. You love a challenge and you love to figure things out. -Able to onboard yourself quickly with light initial guidance and take real ownership within the first couple of weeks -You’re great at gathering a lot of details, documenting, prioritizing, and getting the right things done in a day’s work. Logistics: Starting with a part-time trial (20-30 hrs/week), with room to grow quickly as the role and workload expand. Compensation based on experience.
