About the Role We are looking for a proactive and highly organized Executive Assistant to support day to day operations, client outreach, and communication. This role involves working directly with the founder and handling scheduling, outbound outreach, email marketing, and administrative tasks. This is not a basic admin role. We are looking for someone who can take ownership, communicate confidently, and help drive both operations and growth. Key Responsibilities Calendar & Scheduling • Manage and maintain the founder’s calendar • Schedule meetings and coordinate across time zones • Handle follow ups and ensure meetings are organized efficiently Client Outreach & Communication • Conduct outbound outreach using Apollo.io (email campaigns) • Reach out to potential clients via email and phone calls • Follow up with leads and track responses • Schedule meetings and maintain communication records Email Marketing • Execute email campaigns to generate leads • Build and manage contact lists using Apollo.io • Track campaign performance and responses • Support improvements in messaging and outreach strategy Operations & Admin • Handle administrative tasks and daily operations • Maintain trackers, documents, and internal workflows • Assist with research, data entry, and reporting Personal & Ad Hoc Support • Assist with personal projects such as job application submissions • Handle miscellaneous tasks and priority requests as needed Required Skills • 2+ years of experience in executive assistance, operations, or similar roles • Experience with Apollo.io or similar outbound tools • Strong written and verbal communication skills • Fluent in English (written and spoken) is required • Comfortable with client outreach via email and phone • Highly organized with strong attention to detail • Ability to work independently and manage multiple priorities • Experience with Google Workspace and Excel Preferred Skills • Experience with CRM tools or lead tracking systems • Experience with email marketing platforms • Experience working with startups or founders • Basic understanding of sales or lead generation processes Ideal Candidate • Proactive and takes ownership of tasks • Comfortable handling outbound outreach and client communication • Strong follow through and accountability • Able to work independently in a remote setup • Based in India or similar time zone for easier collaboration
