Executive Assistant & Operations Manager

We're a growing property management and real estate company based in Nashville, Tennessee. We currently manage a portfolio of short-term and long-term rental properties and are expanding into residential real estate sales, lead generation, and business development. We're looking for a highly organized, proactive Executive Assistant / Operations Manager who can help manage day-to-day operations, keep projects moving forward, and act as a central point of coordination for the business. This is a long-term opportunity with significant growth potential for the right person. What You'll Be Doing Property Management Operations Managing guest communications and escalations Coordinating maintenance requests Following up with vendors and contractors Managing Airbnb, VRBO, Booking.com, and other OTA platforms Monitoring Guesty and ensuring reservations are accurate Handling owner communications Tracking turnovers and coordinating cleaners Assisting with Airbnb damage claims and disputes Monitoring reviews and guest satisfaction Long-Term Rental Management Coordinating tenant communication Tracking lease renewals Following up on rent collection issues Organizing maintenance requests Managing move-ins and move-outs Assisting with tenant screening and leasing paperwork Administrative Support Inbox management Calendar management Follow-up reminders Data entry Document organization SOP creation and documentation Spreadsheet management Research projects Business Operations Tracking projects and deadlines Managing and improving workflows Coordinating with virtual assistants CRM management and data cleanup Assisting with sales and lead generation systems Preparing reports and dashboards Identifying inefficiencies and proposing solutions Personal Assistant Tasks (Occasional) Appointment scheduling Travel research Personal calendar management General administrative assistance Ideal Candidate We're looking for someone who: Thinks like an owner, not just an assistant Is highly organized and detail-oriented Can work independently with minimal supervision Is comfortable making decisions and solving problems Has excellent written English Is proactive and follows through without being reminded Can manage multiple priorities simultaneously Is comfortable communicating with guests, tenants, owners, vendors, and contractors Experience Preferred Experience with any of the following is a major plus: Guesty Airbnb VRBO Booking.com Breezeway Property Management Real Estate Leasing CRM Systems Go High Level Google Workspace Microsoft Office QuickBooks Project Management Software Customer Service
