Executive Assistant / Remote Airbnb Operations Manager

Overview We are seeking a highly organized, resourceful, and solutions-driven Executive Assistant & Remote Operations Manager to help streamline and scale our Airbnb and short-term rental business. The ideal candidate is not just task-oriented — they are a strategic problem solver who thrives on improving systems, managing complex operations, and leveraging AI tools (including GPTs) to make every process more efficient. You’ll oversee property performance, client acquisition, coordinate with different teams/vendors, and ensure a world-class guest experience while keeping daily operations running seamlessly behind the scenes. Key Responsibilities Operational Oversight: Manage all day-to-day Airbnb operations remotely, ensuring smooth communication across cleaning, maintenance, and guest support teams. System Design & Implementation: Create, refine, and document efficient workflows and SOPs to improve productivity, consistency, and accountability. Guest Management: Handle all guest communication from inquiry to checkout, ensuring timely, thoughtful, and brand-consistent responses. Listing Management: Maintain and update property listings — pricing, photos, amenities, and descriptions — to maximize visibility and conversions. Issue Resolution: Identify and resolve guest or operational issues proactively, utilizing strong judgment and escalation protocols when necessary. Client Acquisition: Reach out to property owners via leads, referrals, and cold calling to offer them our services and keep them engaged through our sales funnel Claims & Disputes: Manage AirCover, Resolution Center claims, and any other coverage processes with precision and follow-through. Financial Reporting: Track expenses, prepare monthly financial summaries, manage vendor payments, and ensure billing accuracy. Team Coordination: Delegate tasks effectively to cleaning, maintenance, and admin staff; monitor follow-through and performance. Inventory & Supply Management: Ensure each property remains stocked and guest-ready through efficient procurement and vendor coordination. Marketing & Growth Support: Contribute to marketing efforts — social media content, ad campaigns, lead generation, and AI-driven automation. AI Integration: Utilize and improve internal systems using OpenAI GPTs and other automation tools to simplify and accelerate routine processes. Qualifications Proven experience in Airbnb, STR, or hospitality operations management (required). Preferred experience with GoHighLevel CRM, ClickUp, Hostaway, and Pricelabs Exceptional problem-solving, delegation, and system-building abilities. Excellent written and verbal communication in English. Must be able to speak fluent English on the phone and have a friendly demeanor with clear communication abilities; comfortable with making and receiving calls. High proficiency with digital tools, spreadsheets, CRMs, and AI platforms (OpenAI/GPT familiarity preferred). Highly organized with strong attention to detail and follow-through. Comfortable managing multiple priorities and fast-changing tasks independently. Flexible availability to accommodate time-sensitive or guest-related needs. A positive, calm, and professional attitude with strong ownership over results.
