Summary

McKinley Professional Services (MPS) is a remote executive assistant firm supporting entrepreneurs and agency owners across North America. We're looking for a skilled, proactive EA subcontractor to support one of our clients with the potential to grow into ongoing support across multiple MPS clients. This is a subcontractor role. You'll be working under the MPS brand, supporting our client directly under our direction. ABOUT THE CLIENT Our first client for this role is a creative agency founder managing multiple social media clients, a big waitlist, and a growing team. She needs a right-hand EA who can bring structure, follow-through, and proactive thinking to her day-to-day so she can stay in her creative zone and scale toward her goals. She is warm, fast-paced, and creative-brained, and values someone who comes with solutions rather than questions. Experience supporting ADHD entrepreneurs or agency owners is a strong asset. WHAT YOU'LL BE DOING Calendar management — full ownership and daily structure Task list and prioritization — daily review, deadline enforcement, keeping the client on track Inbox management — proactive triage, tone-matched responses (casual vs. formal depending on the client) Client onboarding admin — welcome emails, invoices, contracts, onboarding kits Social media scheduling in Rella — moving approved content to scheduled, sending client screenshots, managing posting schedules across 15+ accounts Signed contract and document organization in Google Drive and Notion Notion creativity board maintenance — keeping client pages updated Rella and Claude AI integration — learning and setting up automation for social media scheduling General administrative support as needed WHAT WE'RE LOOKING FOR Minimum 2 years experience as a VA or EA supporting a business owner or agency Extremely organized with strong follow-through — you don't wait to be told twice Proactive problem solver — you come with options, not questions Comfortable working async and managing your own time Experience with social media scheduling tools (Rella, Later, Planoly, Buffer, or similar) Comfortable in Notion and Google Workspace Ability to match tone in written communications Bonus: experience supporting ADHD entrepreneurs or agency founders Bonus: familiarity with Claude AI or other AI tools ENGAGEMENT DETAILS Start: as soon as possible — ideally by June 15 Hours: 20–40 hours/month to start, with potential to grow across multiple MPS clients Rate: $25–$40 CAD/hour depending on experience Remote and async-friendly TO APPLY Please include a brief note on your experience supporting agency owners or creative entrepreneurs, any social media scheduling tools you've worked in, and one example of a time you solved a problem proactively without being asked.
