She has helped veteran-owned businesses secure over $550 million in federal contracts and she is scaling fast. Her days are full of high-value work: coaching veterans, leading the Vision 2 Victory program, building partnerships, and teaching people how to build businesses they love. What she needs is someone who protects that time and keeps everything behind the scenes running like clockwork. That is where you come in. This is not a passive inbox-management job. You will be the person Kristy trusts to keep her organized, prepared, and focused on what only she can do. When you are doing your job well, she feels lighter, clearer, and free to lead. That matters, because when she leads well, veterans win contracts and change their lives. WHO WE'RE LOOKING FOR You are sharp, organized, and two steps ahead. You use tools like ChatGPT or Claude to work smarter, draft faster, and do more with less. • You are mission-aligned. You genuinely care about veteran entrepreneurs and the work we do to support them. • You protect confidentiality. You will have access to sensitive business information and you treat it with full discretion. CORE RESPONSIBILITIES Calendar and Schedule Management • Own Kristy's calendar from start to finish, including scheduling, rescheduling, and protecting her Focus Days • Coordinate meetings with students, partners, vendors, and team members across time zones • Prepare daily and weekly agendas so Kristy always knows what is coming and can show up prepared • Build in buffer time and protect boundaries between coaching, admin, and personal commitments • Manage Zoom links, meeting access, and logistics for all sessions Communication and Correspondence • Monitor and organize Kristy's inbox, flagging what is urgent and filtering what is not • Draft emails, follow-up messages, and responses in Kristy's voice for her review and approval • Handle routine correspondence with partners, vendors, and contacts independently • Coordinate with team members on Kristy's behalf for day-to-day task updates and check-ins Task and Project Coordination • Maintain task lists and project trackers so nothing falls through the cracks • Follow up with team members on open items and keep Kristy informed without pulling her into the weeds • Prepare materials, agendas, and documents for meetings and coaching sessions • Coordinate logistics for events, speaking engagements, book promotions, and program launches Document and File Management • Create and maintain organized folder systems across Google Drive and shared platforms • Prepare, format, and proof documents including presentations, proposals, and reports • Track and manage contracts, agreements, and important business records • Keep credentials, SOPs, and reference documents current and easy to find AI Tools and Efficiency Systems • Use AI tools daily to draft communications, summarize information, and research topics efficiently • Identify repetitive tasks that can be templated, automated, or streamlined • Support the team by creating SOPs and documentation that reduce reliance on company knowledge • Stay current on tools and AI technology that help the team work smarter Personal and Administrative Support • Coordinate personal scheduling needs including appointments calendar items • Manage travel arrangements and logistics when needed • Handle ad hoc research, vendor coordination, and special projects as they arise • Anticipate Kristy's needs and take initiative without being prompted REQUIRED QUALIFICATIONS • 2 or more years of experience as an executive assistant, virtual assistant, or in a similar support role • Excellent written English communication skills with the ability to write in someone else's voice • Strong organizational skills with the ability to manage multiple priorities at the same time • Proficiency in Google Workspace including Gmail, Google Calendar, Google Docs, and Google Drive • Experience using Zoom and other video conferencing platforms • Comfortable using AI tools such as Claude, Notebook LM and Notion in everyday work • Reliable internet connection and a quiet, professional remote work setup • High attention to detail with a zero-excuses approach to follow-through PREFERRED QUALIFICATIONS • Experience supporting a founder, CEO, or executive in a fast-growing company • Experience with GoHighLevel or similar CRM and automation tools • Background working with coaches, consultants, or online course businesses • Exposure to government contracting, veteran businesses, or federal procurement processes • Military veteran or military-connected background is a strong plus WHAT WE OFFER • Meaningful work in a mission-driven company that genuinely serves veterans • Flexible, remote schedule with an async-friendly team culture • A front-row seat to how a growing coaching and consulting business is built • A leader who values your contribution, communicates clearly, and treats you with respect • Room to grow as the company scales, with increasing responsibility for the right person • A team culture rooted in persistence, preparation, integrity, and care for each other OUR CORE VALUES We are not looking for someone who just does tasks.
