Executive Assistant (Remote, Full-Time) We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support a busy CEO and help keep day-to-day operations running smoothly. This role is ideal for someone who enjoys creating structure, managing schedules, tracking priorities, and ensuring important tasks never fall through the cracks. You will work closely with leadership and become a key part of maintaining organization and accountability across the business. Please note: This position requires availability during standard U.S. Eastern Time (EST/EDT) business hours. Applicants must be able to work and communicate effectively during these hours. Responsibilities Manage and maintain the CEO's calendar, appointments, and meetings. Schedule internal and external meetings across multiple time zones. Send reminders and follow up on action items, deadlines, and commitments. Organize and prioritize emails and communications. Prepare meeting agendas, notes, and summaries when required. Track projects, deliverables, and ongoing initiatives. Maintain organized records, files, and documentation. Communicate with team members, partners, vendors, and clients on behalf of the CEO. Assist with research, reporting, and special projects. Identify bottlenecks and proactively help solve organizational challenges. Requirements Proven experience as an Executive Assistant, Administrative Assistant, Operations Coordinator, or similar role. Excellent written and verbal English communication skills. Strong organizational and time-management abilities. Ability to manage multiple priorities with minimal supervision. High attention to detail and follow-through. Strong problem-solving and critical-thinking skills. Professionalism and discretion when handling confidential information. Comfortable working in a fast-paced environment. Must be available to work during standard U.S. Eastern Time (EST/EDT) business hours. Reliable internet connection and a professional remote work environment. Ability to respond promptly to messages, meeting requests, and scheduling needs during working hours. Preferred Experience Google Workspace (Gmail, Calendar, Docs, Sheets) Microsoft Office Suite Slack Jira, Asana, ClickUp, Trello, or similar project management tools CRM systems and business software platforms What Success Looks Like Meetings are scheduled efficiently and conflicts are avoided. Important tasks, deadlines, and follow-ups are consistently tracked. The CEO stays organized, informed, and focused on high-priority work. Projects move forward without requiring constant oversight.
