Executive Operations Manager / Operations Integrator Position Overview We are seeking a highly organized, execution-focused Executive Operations Manager to work directly with ownership and oversee operations across multiple growing businesses, including real estate, property management, legal case management support, education/events, and real estate development. This position is responsible for ensuring projects move forward, deadlines are met, staff remain accountable, and leadership has clear visibility into business performance. The ideal candidate thrives in fast-paced environments, solves problems proactively, and can turn ideas into completed projects. Key Responsibilities Operations Management Oversee daily operations across multiple business divisions Track projects, deadlines, and deliverables Ensure staff follow company procedures and timelines Monitor workflow and identify bottlenecks Create and maintain Standard Operating Procedures (SOPs) Team Accountability Conduct daily and weekly staff check-ins Monitor productivity and task completion Follow up on outstanding action items Escalate unresolved issues to leadership Maintain accountability systems and scorecards Executive Support Coordinate leadership priorities Prepare weekly executive reports Track company KPIs and performance metrics Assist with strategic planning and implementation Manage project timelines and follow-through Financial & Administrative Coordination Coordinate with bookkeepers, accountants, and vendors. Monitor recurring deadlines and compliance requirements Track contracts, invoices, and operational expenses Maintain organized company records and documentation Development & Special Projects Track hotel development milestones Coordinate lender, consultant, and vendor communication Support event planning and operational execution Assist with the implementation of growth initiatives Qualifications Required 3+ years of operations, project management, executive assistant, or business management experience Strong organizational skills Excellent written and verbal communication Ability to manage multiple priorities simultaneously Strong follow-through and accountability Proficiency with Google Workspace and Microsoft Office Preferred Real estate or property management experience Legal operations or case management experience QuickBooks experience Buildium experience Filevine experience ClickUp, Asana, Monday.com, or similar project management platforms Success Metrics Within the first 90 days, the successful candidate will: Implement weekly KPI reporting Reduce missed deadlines and follow-up issues Improve project visibility across all companies Create and organize operational systems Ensure leadership receives accurate weekly reporting Assist in moving strategic initiatives forward Compensation Competitive hourly or salary compensation based on experience, with performance incentives available based on operational improvements and company growth.
