Summary

I am looking for an experienced part-time Real Estate ISA / Database Manager / Client Relationship Manager to help manage lead follow-up, nurture buyer and seller leads, and keep my Lofty CRM organized. This is not a high-pressure cold-calling role. I am looking for someone warm, friendly, organized, emotionally intelligent, and skilled at building rapport. The right person should be comfortable setting appointments, but also patient and thoughtful enough to nurture long-term leads and stay in touch with past clients. I am a residential real estate agent based in New Jersey, and I am looking for someone who can become a trusted extension of my business. Role Overview You will help manage follow-up inside my Lofty CRM, including new leads, older database leads, past clients, open house leads, buyer leads, seller leads, and long-term nurture opportunities. This role requires someone who understands both sales and relationship management. I do not want someone who simply makes calls and moves on. I want someone who can build trust, ask good questions, keep the CRM clean, and make sure each lead has a clear next step. Responsibilities - Call, text, and follow up with buyer and seller leads inside Lofty CRM - Monitor new incoming leads during scheduled Eastern Time shifts and follow up as quickly as possible - Prioritize speed-to-lead for new inquiries while also maintaining scheduled nurture follow-up for older database leads - Build rapport with leads and identify motivation, timeline, location, price point, financing status, and next steps - Set buyer consultations, seller consultations, lender introductions, property search calls, and follow-up appointments when appropriate - Keep in touch with past clients and sphere contacts in a warm, relationship-based way - Assign leads to the correct pipeline/stage in Lofty - Add detailed notes after each conversation - Assign smart plans based on the lead’s situation - Create and assign next follow-up tasks - Set up or adjust property alerts/searches for buyer leads - Identify hot, warm, nurture, dead, agent-represented, and long-term leads - Keep the database clean, organized, and consistently nurtured - Send a daily summary of important conversations, appointments set, follow-up needed, and leads requiring my attention Ideal Candidate - Has experience as a real estate ISA, inside sales agent, appointment setter, client care coordinator, CRM manager, or real estate assistant - Experience with Lofty/Chime is strongly preferred - Understands residential real estate buyer and seller conversations - Warm, friendly, calm, and professional on the phone - Excellent written communication skills - Organized and detail-oriented - Comfortable following scripts but able to sound natural and human - Able to ask qualifying questions without sounding pushy - Strong follow-through and task management - Able to protect the client relationship and represent the brand well - Comfortable working independently without needing constant micromanagement - Real estate license preferred, but not required depending on experience and scope This Role Is a Good Fit If You Are - Great at building trust over time - Comfortable with consistent phone follow-up - Skilled at setting appointments without sounding aggressive - Good at identifying who is serious versus who needs long-term nurture - Naturally organized in CRMs - Patient with long-term real estate leads - Friendly but also direct enough to move conversations forward - Looking for a part-time role that could grow over time This Role Is Not a Good Fit If You - Sound overly scripted or salesy - Only want to make dials without managing the CRM - Do not like detailed notes or follow-up tasks - Are uncomfortable with real estate conversations - Are unreliable with daily communication - Need constant micromanaging - Treat database leads like one-time cold calls instead of long-term relationships Schedule & Availability This role supports a New Jersey-based real estate business, so availability during Eastern Time hours is required. The ideal schedule is approximately 20 hours per week, Monday through Friday, with a split-shift schedule preferred. Preferred schedule: 10:00 AM–12:00 PM ET 4:00 PM–6:00 PM ET Exact hours can be discussed, but preference will be given to candidates who can work during high-response windows such as late morning, afternoon, and early evening Eastern Time. During scheduled working hours, new leads should be contacted as quickly as possible, ideally within 5–15 minutes when feasible. Follow-up should include calls, texts, CRM notes, task assignments, smart plan updates, property alerts, and pipeline updates as appropriate. This is not a 24/7 on-call role, but responsiveness during agreed-upon shifts is very important. Compensation This is a part-time remote role to start, approximately 20 hours per week, with potential to grow over time. Compensation will be based on experience. I am open to hourly pay in the range of $25–$35/hour for the right candidate, depending on experience, real estate knowledge, CRM ability, and level of independence. Bonus opportunities may be available for qualified appointments held, depending on experience, licensing, and compliance requirements. To Apply Please include the following in your application: 1. A brief summary of your real estate, ISA, appointment-setting, client care, or CRM experience 2. Which real estate CRMs you have used, especially Lofty/Chime if applicable 3. Your hourly rate 4. Your availability in Eastern Time 5. Whether you have experience following up with buyer leads, seller leads, past clients, and long-term database leads 6. A short voice recording or Loom introducing yourself and explaining how you would follow up with a buyer lead who registered online but has not responded yet 7. Any examples of lead follow-up systems, scripts, workflows, or CRM processes you have managed I am looking for someone who can become a trusted extension of my business and help create a warm, organized, consistent follow-up experience for leads, clients, and past clients.
