Finance Assistant & VA

This is a full-time UK hours role (8:30am – 5:30pm GMT/BST) combining Finance Administration and Virtual Assistant (VA) responsibilities. The successful candidate will be expected to manage their workload effectively across both areas, prioritising tasks according to business needs. The finance responsibilities are primarily daily operational tasks that support the Finance team and will generally need to be completed during the morning to ensure reporting, reconciliations and payment processing remain up to date. Once the core finance tasks have been completed, the remainder of the day will typically focus on providing administrative and virtual assistant support to the business owner. As workloads will vary from day to day, the successful candidate will need to be organised, proactive and capable of switching between finance and administrative priorities while maintaining accuracy and meeting deadlines. Finance Assistant Responsibilities -Card Payment Reconciliation (USD, MMA & AFL Stripe) Daily reconciliation of payments received across three Stripe accounts. Ensure correct amounts are received, refunds are processed accurately, and disputes are tracked. -Payment Updates Salesforce & Datasheets Daily ensure all card payments and refunds are correctly reflected in Salesforce and relevant datasheets. -Stripe Failed Payment Report Daily generate the failed payment report. Record it in the reporting sheet, update client accounts, and notify the responsible salesperson. -Scorecard Failed Payments Entry Weekly update of total Stripe failed payments for Frontend and Backend. -BWP Matching (Stripe & QuickBooks) Daily matching of Breadwinner transactions against Salesforce and QuickBooks. -QuickBooks Entries & Bank Categorisation Daily entry of sales and payment transactions in QuickBooks, including Sales Receipts, Invoices, Refunds, and Credit Notes. Record Stripe settlements and categorise bank transactions accurately. Virtual Assistant Responsibilities -Diary & Meeting Management Schedule meetings via Zoom and Microsoft Teams, manage invitations and coordinate attendees. -Meeting Support Where required, attend virtual meetings and utilise Zoom AI Companion or Teams meeting summaries to capture key actions and decisions, and provide meeting notes and action summaries following the meeting. -Email Management & Inbox Support Daily monitoring of the owner's inbox, deleting spam, flagging urgent or important emails, and ensuring priority communications are brought to the owner's attention. -Email Research & Information Retrieval Search email correspondence to locate requested documents, invoices, contracts or historical information as required. -Travel Booking & Itinerary Management Arrange flights, accommodation and other travel requirements for both business and personal travel for the owner and family. -Purchasing & Online Orders Order requested items via Amazon and other online retailers, tracking deliveries where required. -Document Management (SharePoint) Maintain organised records relating to the owner's Spanish villa build project within SharePoint. -Document Retrieval & Professional Liaison Retrieve documentation from SharePoint and company records when requested by Spanish lawyers, accountants and other professional advisers supporting the villa project. -General Administrative Support Provide ad hoc administrative assistance, research and coordination as required by the owner.
