Finance Operations Analyst (10–15 hrs/week, Long‑Term)

Own the accuracy of our cash, billing, and financial operations. We’re looking for a detail‑obsessed finance operations analyst to keep our financial systems aligned, our cash picture accurate, and our billing + CRM data clean. You’ll work closely with our finance lead and our external bookkeeping firm, and you’ll be the person who can look at a bank feed, a billing system, and a CRM export and tell us whether the numbers are real. This role is operational finance, not bookkeeping and not FP&A. You won’t do journal entries or build models — you’ll keep the machine running. What You’ll Own (Recurring Weekly Cadence) - Bank & Revenue Reconciliation - Match Chargebee billing records to actual bank deposits - Trace payments across wires, card‑processor batches, and business banking - Surface reconciliation breaks and unrecorded transactions - Support the monthly books close (you coordinate; our bookkeeper books) Accounts Receivable - Maintain AR aging by bucket - Flag overdue or at‑risk accounts - Produce a weekly “Accounts to Watch” list - Support collections outreach Accounts Payable - Audit vendor bills for accuracy and due dates - Track approvals and mark bills paid - Manage recurring vendor payments and billing continuity - Sequence payments based on available cash Billing‑System Administration (Chargebee) - Mark invoices paid - Apply incoming payments to correct invoices (oldest‑first logic) - Keep billing status aligned with bank activity and CRM data Customer‑Health & Churn Reporting - Reconcile CRM customer‑health data against billing status - Produce a clean read on renewals, churn risk, and billing continuity - Participate in a recurring churn/customer‑health sync Forecast Inputs & Cash‑Burn Workbook - Maintain revenue‑opportunity inputs to our cash‑burn/runway model - Update expected payment timing, churn, and upcoming costs - Keep assumptions clean and current Executive Dashboard Maintenance - Update burn + 6‑month forecast - Maintain MRR waterfall and churn - Track collections by account - Flag renewal/churn‑risk accounts - Maintain headcount/payroll snapshot Ad‑Hoc Analysis & Investor Prep - Support revenue classification (core vs non‑core) - Assist with commission analysis - Join twice‑weekly cash/burn/AR/AP review calls Required Skills - Hands‑on experience with Chargebee or similar subscription billing platforms - Experience with QuickBooks Online or Xero - Comfort navigating business banking portals and card‑processor dashboards - Demonstrated bank reconciliation or month‑end close experience - Strong Excel/Google Sheets (pivot tables, lookups, model maintenance) - Basic exposure to cash‑burn, runway, or revenue forecasting - Comfortable working in fast‑moving, imperfect startup data - Strong written English for async reporting + live meetings Nice to Have - SaaS metrics (MRR, churn %, ARR waterfall) - Experience preparing investor‑facing or board‑level materials - Experience supporting a US‑based startup remotely Schedule - 10–15 hrs/week - Must be available for two live meetings/week during US Eastern business hours - Remaining work is async - Long‑term role, hours to increase over time with the right candidate.
