Summary

We are looking for a detail-oriented, US-based Financial Operations Assistant to help support the financial close process for a growing short-term rental / property management business. This is not a traditional bookkeeping role and does not involve making payments, approving bills, moving money, or making accounting decisions. We already have a bookkeeping team and CPA. We need someone who can help organize financial data, identify exceptions, prepare clean review packets, and coordinate questions with our bookkeeping team. ## About the Business We operate and manage multiple short-term rental properties using systems such as Guesty, QuickBooks Online, Bill.com, and property/revenue management spreadsheets. The business has multiple properties, multiple entities, and property-level financial reporting, so accuracy and organization are very important. ## Main Responsibilities The role will focus on financial operations support, monthly close assistance, and exception tracking. Responsibilities may include: * Reviewing reservation, payout, and deposit reports for missing or unusual items * Helping identify unpaid reservations or missing reservation payouts * Comparing Guesty reservation/payout data to QBO and bank deposit reports * Reviewing cleaning charges against the number of actual property turns * Reviewing vendor bills for obvious duplicate charges, wrong property coding, or missing support * Helping track management fee calculations and related Bill.com/QBO entries * Maintaining a financial exception tracker with open questions, status, owner, and resolution notes * Preparing a monthly financial close packet for owner/bookkeeper review * Organizing questions for the bookkeeping team * Following up on unresolved bookkeeping questions * Flagging issues for review rather than making final decisions ## Important Role Boundaries This role does not include: * Paying bills * Approving bills * Moving money * Accessing bank accounts directly * Creating or changing vendor payment information * Posting journal entries * Making tax or accounting judgment calls * Replacing our bookkeeping team or CPA The ideal person is comfortable working from reports, exports, checklists, and limited-access systems to identify issues and keep the monthly financial process organized. ## Ideal Candidate We are looking for someone who is: * US-based * Highly detail-oriented * Organized and comfortable tracking open issues * Experienced with QuickBooks Online * Comfortable with spreadsheets * Familiar with bookkeeping workflows, reconciliations, P&Ls, and vendor bills * Able to communicate clearly with a bookkeeping team * Comfortable asking precise questions when something does not look right * Able to work independently from written SOPs and checklists Experience with any of the following is a plus: * Bill.com * Guesty or other property management software * Short-term rentals, vacation rentals, or real estate * Property-level financial reporting * Multi-entity businesses * Revenue reconciliation or payout matching ## Time Commitment We expect this to start at approximately 3–5 hours per week, with the possibility of increasing if the role is helpful. We are looking for someone long-term who can help make our financial close process cleaner, more reliable, and less owner-dependent. ## What Success Looks Like A successful person in this role will help us: * Reduce the amount of owner time spent checking bookkeeping details * Identify missing transactions, unpaid reservations, duplicate bills, or unusual charges * Keep open financial issues organized and easy to review * Improve communication with the bookkeeping team * Create a cleaner monthly close process * Ensure financial exceptions are surfaced before they become larger problems ## To Apply Please include: 1.
