Fractional Agency Operations Consultant (3-Month Engagement) Overview I run a boutique growth consultancy providing fractional CMO leadership along with execution across paid media, HubSpot, CRM automation, content marketing, web development, analytics, and creative. We’ve reached an exciting point where client complexity has outgrown our current project management and delivery systems. We’re not looking for someone to simply “set up ClickUp.” We’re looking for someone who has built and operated delivery systems inside successful digital marketing agencies and can help us build ours. The Challenge: Our work is getting done. Our clients are happy with the quality. But our internal operating system isn’t scaling. Today we have: * Projects spanning multiple disciplines (HubSpot, content, web, paid media, CRM, creative) * Multiple team members collaborating across each client * Increasing client complexity * Executive strategy happening quickly * Strong people, but inconsistent operational structure We need help transforming this into a repeatable delivery system. What We Need: Over approximately three months, we’d like someone to work closely with our team to: * Assess our current workflows and identify bottlenecks * Design a scalable project management and delivery framework * Recommend the right platform and architecture (ClickUp, Notion, or another solution) * Implement the system with us—not just hand us documentation * Coach the team on best practices and operational discipline * Help define project templates, dependencies, approvals, ownership, and reporting * Build a repeatable operating model that can scale as we add clients This is intended to be a hands-on coaching and implementation engagement. About Us Our team is small, experienced, and collaborative. I’m a former Head of Marketing / CMO who has led large marketing organizations in the past. Strategy comes naturally to me, but I’ve always relied on strong project managers and operations leaders to keep execution structured. Today, I have an excellent executive assistant who has grown into a project management role, but we’ve reached the point where we need experienced guidance to level up our systems and processes. The goal is not to replace our team. The goal is to coach us into becoming significantly better operators. Ideal Experience We’re looking for someone who has: * Built operational systems inside a digital marketing agency * Deep experience with project operations—not just task management * Experience implementing ClickUp, Notion, Monday, Asana, or similar platforms * Strong understanding of campaign delivery, content production, marketing operations, and client services * Experience coaching teams and improving adoption—not just configuring software Engagement * Approximately 3 months * Will need to be able to work with us in CST Timezone * Hands-on collaboration * Potential for an ongoing advisory relationship if there’s a good fit If you’ve helped agencies become more operationally mature and scalable, I’d love to talk.
