We are a lean, fast-growing biotechnology startup operating at the intersection of cutting-edge science and global business. With operations currently split between Switzerland and Australia, and an upcoming expansion into the US market, we operate across multiple time zones. We are looking for an entrepreneurial, highly organized, and proactive Virtual Assistant to act as a fractional operational backbone for the CEO. Role Overview Type: Part-time / Fractional (approx. 10–12 hours per week / 2–3 hours daily or 3x 4-hour blocks) Growth Potential: As the startup grows, there is a pathway for this role to transition into a permanent, full-time position with competitive compensation. Location: Remote (Preferred locations: Canada, Mauritius, Morocco, or Europe) Languages: Fluent English (Written and Spoken) and Business-Fluent written French (or ability to write emails in proper French using AI for help) Working Style: 100% Asynchronous. You do not need to be synchronized with our time zones, but you must be a disciplined, self-starting communicator who can clear a task queue independently. Key Responsibilities 1. Workflow & Framework Optimization (First 30 Days) Collaborate with the team to design and implement an efficient, low-touch asynchronous workflow (e.g., setting up task boards in Notion/Asana, organizing communication channels). Create standard operating procedures (SOPs) for recurring admin, bookkeeping, and operational tasks so the framework can scale as the company grows. 2. General Administration & Biotech Operations Manage digital file organization, global scheduling across multiple time zones, and travel coordination for international conferences. Biotech Specific: Coordinate with external labs, contract research organizations (CROs), and vendors. Biotech Specific: Manage administrative documentation for intellectual property (IP), patent filings, and material transfer agreements (MTAs), ensuring signatures are collected and files are securely archived. 3. Bookkeeping & Financial Admin (Maker-Checker Model) Manage global invoicing, receipt collection, and expense tracking across CHF, AUD, and eventually USD. Prepare and input pending supplier payments directly into online banking (e.g., Wise, corporate banking) for final CEO approval. Coordinate with our external accountants in Switzerland and Australia to ensure monthly bookkeeping is clean and compliant. 4. Investor Relations & Fundraising Support Maintain and update our Investor CRM/Pipeline tracking tool (HubSpot, Notion, or Excel). Handle cold/warm logistics for investor outreach: scheduling pitches, sending follow-up materials, and tracking investor engagement. Biotech Specific: Securely manage the company's Data Room (e.g., via DocSend or ShareVault), ensuring NDA signatures are collected before granting access to sensitive scientific data or pitch decks. 5. Regulatory & Compliance Tracking Biotech Specific: Maintain a compliance calendar to track upcoming deadlines for institutional grants, ethics committee approvals, and clinical trial registrations.
