Fractional Bookkeeper/Financial Ops Support — QuickBooks Setup + Wave Transition
Worldwide
I'm the founder of a strategic communications, workforce development, and economic development firm going through a fast growth period, and I need a steady hand to help me get my financial operations in order. The situation, honestly: I don't have a formal financial management background and a brain injury that's limited my way of operating with analytics, numbers, etc. I've been running the business through Wave, and I'm now migrating to QuickBooks Online. Things have been tracked, but not always consistently, and I know there are gaps, miscategorizations, and cleanup work needed as part of this transition. I need someone who can come in without judgment and help me build something sustainable. What I need help with: Migrating financial records from Wave to QuickBooks Online (historical data cleanup + go-forward setup) Reviewing and correctly categorizing transactions (income by client/project, COGS vs. operating expenses, owner draws vs. contributions vs. personal expenses) Setting up a chart of accounts that matches how the business actually operates (multiple active client contracts, a mix of 1099 contractors — domestic and international — and project-based revenue) Reconciling the business bank account and building a repeatable process I can maintain going forward Flagging discrepancies, red flags, or Occasional support around 1099/contractor tracking and W-9 collection status Who I'm looking for: Someone with real bookkeeping experience, ideally with small businesses or agencies with contractor-heavy cost structures Comfortable working with a business in an active growth phase; priorities shift, and I need someone who can flex with that, not someone who needs a fully static environment Takes initiative. I don't want to have to ask for everything explicitly; if you see something concerning or a better way to structure something, tell me. That's the culture I want on this team. Patient and clear communicator; I do better with plain language and visual breakdowns over dense accounting jargon Experience with Wave-to-QuickBooks migrations is a strong plus Engagement type:To start, I'm looking for help with a focused cleanup project (2026 books specifically), with the possibility of ongoing monthly support afterward if it's a good fit with profit analysis, forecasting, and joining a wonderful growing team. To apply, please share: Experience with QuickBooks Online setup/migrations How you'd approach a business with mixed contractor payment methods (1099, international via Wise, and cash apps) Your availability for a focused initial cleanup vs. ongoing monthly work
