About the Business I am the owner of a growing mental health and professional services business with multiple revenue streams, including: A counseling practice with W-2 clinicians, independent contractors, and interns Billing and credentialing services for other behavioral health practices Emotional Support Animal (ESA) evaluation services Office rentals I already work with a bookkeeper and am not looking for basic bookkeeping services. I am looking for a fractional CFO or experienced financial strategist who can help me understand the financial health of each area of the business, improve cash flow and financial systems, and develop a realistic plan for making the business my primary source of income. What I Need Help With My business is growing, but managing the financial side has become increasingly difficult and time-consuming. I want someone who can look at the entire financial picture and help me understand not only where the business has been, but where it is going. Initially, I would like a comprehensive financial assessment to identify: Current overall profitability Profitability by revenue stream/business segment Cash-flow issues or inefficiencies Accounts receivable and outstanding client balances Payroll and contractor costs Appropriate operating and emergency reserves Tax reserves and cash allocation Pricing and margins Opportunities to improve profitability Areas of the business that may be underperforming How much I can currently afford to pay myself One area that especially needs analysis is a newer service line that uses flexible client payment plans. The service has grown quickly, but the cash collected has not felt proportional to the number of clients coming through the program. I would like help analyzing outstanding balances, collection timelines, expected cash flow, and whether the payment structure is sustainable. Owner Compensation & Long-Term Goal One of my biggest goals is to transition away from my current full-time employment and make my business my primary livelihood. I have not regularly paid myself from the business in over a year. My initial goal is for the business to sustainably provide me with $3,000 every two weeks ($78,000 annually) while continuing to comfortably cover: W-2 payroll and payroll taxes Contractor/subcontractor payments Operating expenses Tax obligations Appropriate business reserves Continued growth and investment I want help determining exactly what level of revenue, profitability, and cash reserves the business needs to reach for this to be sustainable. I would also like financial projections showing how close I currently am to this goal and approximately when I could reach it under different growth scenarios. Ultimately, I want objective financial criteria that can help me determine when it is financially safe to leave my current job rather than making that decision based simply on revenue or how busy the business feels. Financial Systems & Ongoing CFO Support I am also looking for someone who can help create a much more structured system for managing incoming cash. I find the actual allocation and distribution of money extremely tedious. I would like to establish clear systems for determining how incoming revenue is allocated among: Payroll Contractors/subcontractors Operating expenses Tax reserves Business reserves Debt repayment Owner compensation Ideally, I want to reach a point where I am not personally trying to determine every month how much money can safely be moved or paid to me. I am particularly interested in cash-flow forecasting, including potentially a rolling 13-week cash-flow forecast, as well as monthly financial dashboards that allow me to quickly understand the health of the business. I am also considering an eventual S-corp election and would like someone who can help determine when the business has reached the level of consistent profitability where discussing that transition with my CPA/tax professional makes sense. Who I'm Looking For The ideal person has experience with: Fractional CFO services for small or growing businesses Multi-revenue-stream businesses Cash-flow forecasting Financial modeling and scenario planning Owner compensation strategies Payroll and contractor-heavy businesses Service-based businesses Creating financial dashboards/KPIs Working collaboratively with an existing bookkeeper and tax professional Experience with healthcare, behavioral health, insurance-based practices, or professional service businesses would be a major plus. I am looking for someone who is proactive and strategic, not someone who simply provides financial reports. I want someone who can look at my numbers and say: Here is where you are. Here is where the problem is. Here is where you want to go. And here is what needs to happen financially to get you there. When Applying Please tell me: How you would approach the initial financial assessment of a business like mine. What financial records/data you would want to review first. How you would determine how much I can safely begin paying myself. How you would build a forecast for when I could realistically leave my current job. Whether you provide ongoing cash-flow forecasting and financial monitoring. How hands-on you are with implementing financial systems and cash-allocation processes. How you typically collaborate with an existing bookkeeper and CPA/tax professional. Please also include any experience you have working with healthcare practices, mental health practices, or other service businesses with employees and contractors. I'm interested in establishing an ongoing relationship if we are a good fit. My goal is to find someone who can become a trusted financial partner as the business continues to grow.
