Title: Fractional Executive Assistant — AI Advisory Firm (Remote, Part-Time) About the Role: I am the Founder and CEO of RealizeAI Value LLC, a B2B AI governance and readiness advisory firm serving mid-market C-suite executives. I am also an author, speaker, and advisor with active client engagements. I am looking for a sharp, reliable fractional Executive Assistant based in India to support my day-to-day operations on a part-time basis (about 40 hours/month). This is not a task-taker role. I need someone who anticipates, organizes, and executes with minimal supervision. Responsibilities: Finance & Expense Management • Track and categorize all business expenses weekly using Zoho Books or equivalent • Reconcile credit card and bank statements against business categories • Log and track mileage for business travel • Monitor recurring subscriptions and flag unused or duplicate charges • Support monthly invoicing and retainer payment tracking across clients Calendar & Administrative Management • Manage and maintain executive calendar across multiple time zones • Schedule client calls, advisory meetings, and follow-ups • Send meeting confirmations, reminders, and prep notes • Draft and send routine follow-up emails and correspondence on behalf of the executive • Maintain and update contact records in CRM Content Research & Visual Support • Research trending topics in AI, mid-market business, and digital transformation for LinkedIn content • Source statistics, citations, and references for blog posts and thought leadership content • Execute visual content in Canva using provided brand guidelines (colors, fonts, watermark, layout) • Assist with scheduling and staging LinkedIn posts • Organize and maintain content calendar General Operations • Maintain organized digital filing system across Google Drive • Track open action items and follow up on pending tasks proactively • Support preparation of client-facing documents and briefing materials • Coordinate logistics for travel and conference attendance Required Skills & Experience: • Minimum 2 years experience as Executive Assistant or Virtual Assistant supporting US-based clients • Demonstrated experience in expense tracking and basic bookkeeping • Strong written and spoken English — client-facing communications will pass through this role • Proven calendar management experience across EST time zones • High attention to detail and ability to work independently with minimal supervision • Availability for at least 3–4 hours of overlap with US Eastern Standard Time (8 AM–12 PM EST) Tools Familiarity — Required: • Google Workspace (Gmail, Calendar, Drive, Docs) • Canva or equivalent tools for creating visuals or slides • Zoho One (Books, CRM, Calendar) • LinkedIn (scheduling, engagement tracking) • Claude or other AI tools for research and content drafting • Mercury or similar business banking platforms • Microsoft Office (Word, Excel,PowerPoint) What Success Looks Like in 30 Days: • All business expenses for the past 60 days categorized and reconciled • Calendar fully managed with zero missed meetings or scheduling conflicts • At least two LinkedIn visuals produced to brand standards • All recurring subscriptions audited and a report delivered on active vs. unused tools To Apply: Please include the following in your proposal: • A brief description of a US-based executive or founder you have supported and what you managed for them • Your availability window in EST hours • One example of a Canva visual you have created (screenshot or link) • Your familiarity with Zoho Books or any bookkeeping tool you have used
