Fractional Finance Manager / Bookkeeper for Growing Communications Agency

- About Us - Rubi Group is a growing communications and consulting agency working across the U.S. and Latin America. As we grow, we're looking to build a stronger financial management system that gives our leadership better visibility into the business's health to help us make smarter decisions about hiring, spending, pricing, and growth. We're looking for a part-time/fractional finance professional who can combine hands-on bookkeeping and financial operations with strategic financial analysis. We're looking for someone who can help us understand our numbers, identify trends and risks, and build the financial discipline and systems needed to scale the business. - What You'll Own - Bookkeeping & Financial Operations Manage and maintain accurate bookkeeping in FreshBooks Online Categorize and reconcile transactions and accounts Manage accounts receivable and accounts payable Prepare and send client invoices and track outstanding payments Coordinate vendor/contractor payments and expenses Maintain organized financial records Prepare monthly financial statements and reporting Coordinate with our external accounting firm and provide them with the information needed for tax filings and other accounting/compliance work Financial Management & Strategy Build and maintain a 12–18 month cash-flow and revenue forecast Develop a simple financial dashboard that gives leadership visibility into revenue, expenses, cash flow, margins, and profitability Analyze profitability by client, project, and/or service line Help us understand employee and contractor costs and utilization Identify opportunities to improve margins and financial efficiency Develop frameworks for hiring and investment decisions Help establish appropriate cash reserves and guidelines for reinvesting in growth Model different growth scenarios and potential investments before we commit capital Flag financial risks, unusual spending, or emerging cash-flow issues proactively Meet with the founder monthly to review financial performance, explain what the numbers mean, and make recommendations - What We're Looking For - Ideally, you have: Experience managing finances for a professional services, consulting, PR, marketing, creative, or agency business Strong bookkeeping and FreshBooks Online experience Experience with financial forecasting, budgeting, cash-flow management, and profitability analysis An understanding of agency economics, including retainers, project-based revenue, contractor costs, utilization, margins, and client concentration The ability to translate financial information into clear, practical recommendations for a non-finance founder Strong attention to detail and comfort owning day-to-day financial processes A proactive mindset — we want someone who identifies issues and opportunities rather than simply recording transactions Experience working with small or growing businesses Experience with U.S.-based businesses and companies working internationally is a plus. - How We Envision the Role - We anticipate starting with a 90-day engagement to organize and strengthen our financial infrastructure. During the first 90 days, we'd like to: Month 1 — Understand Review our current financials and processes Clean up or improve bookkeeping where necessary Establish a clear baseline of revenue, expenses, margins, cash flow, and client profitability Month 2 — Build Create our financial dashboard Build cash-flow and revenue forecasting Establish recurring monthly financial reporting Improve invoicing, collections, and other financial workflows Month 3 — Plan Develop growth and hiring scenarios Establish financial benchmarks and investment guidelines Identify opportunities to improve profitability and margins Recommend an ongoing financial management cadence If it's a good fit, we'd like this to become a long-term fractional role supporting the company each month.
