This role requires: - Strong spoken English - Strong written English - Excellent communication skills - Extreme organization - Ability to understand workflows quickly - Ability to turn messy information into clear SOPs About the Role We are hiring a full-time remote SOP & Process Documentation Specialist. Your main responsibility will be to work with our team members, understand how they do their jobs, and turn that information into clear SOPs, manuals, checklists, and how-to guides. You will help us document: - What each team member does - What tools they use - What steps they follow - How each process works - What examples are needed - What issues or gaps exist - What needs to be updated over time This is not a basic admin role. This is also not a senior management role. This role is best for someone who is: - Highly educated - Very organized - A strong English communicator - Detail-oriented - Comfortable asking questions - Good at turning complex information into simple instructions Main Responsibilities You will be responsible for: - Meeting with team members to understand their job functions - Asking detailed questions about their workflows - Reviewing how team members perform tasks - Turning calls, notes, walkthroughs, and recordings into SOPs - Creating clear step-by-step process documents - Creating manuals for different roles and departments - Creating how-to guides for specific tasks - Creating checklists, templates, examples, and instructions - Adding screenshots or examples where needed - Organizing SOPs so they are easy to find and use - Updating SOPs when processes change - Maintaining version history and change logs - Tracking what changed, when it changed, and why it changed - Reviewing SOPs for missing steps or unclear instructions - Finding gaps, issues, and broken processes - Reporting process problems to your direct manager - Helping make sure team members follow SOPs - Tracking when SOPs are not followed - Documenting who did not follow the SOP, what happened, and when it was discussed Communication Requirements This role is heavily based on communication. You must be able to: - Speak English clearly - Understand spoken English well - Communicate professionally on calls - Ask smart follow-up questions - Understand explanations quickly - Clarify confusing information - Write clear and simple instructions - Communicate through video calls, voice calls, and written messages Who This Role Is For This role is ideal for someone who: - Is in college, recently graduated, or early in their career - Is mature and professional - Is extremely organized - Enjoys creating order out of messy information - Can listen carefully and understand details - Can take scattered information and make it simple - Can work remotely and independently - Can follow up when information is missing - Can notice when something does not make sense - Can professionally point out when a process is not being followed - Cares about clarity, structure, accuracy, and consistency Tools You Should Be Comfortable With You should be comfortable using or learning tools such as: - Google Docs - Google Sheets - Google Drive - Loom or screen recording tools - Project management tools - CRM systems - Internal documentation tools - Communication tools like Slack, WhatsApp, or similar platforms What Success Looks Like You will be successful in this role if: - Every role has a clear manual - Every process is documented clearly - Team members can follow SOPs without confusion - SOPs are easy to find and use - SOPs are updated when processes change - Process gaps are found and reported - Broken systems are brought to management - SOP changes are tracked - SOP compliance issues are documented - The company becomes more organized and consistent Important Notes We are not looking for someone who only creates generic AI-written documents.
