Full-Time Virtual Assistant – Lead Follow-Up & Appointment Setting We are a well-established martial arts academy in California looking for a reliable, energetic, and highly responsive Virtual Assistant to manage our incoming leads and follow-up process. This person will work closely with the academy owner and management team. Main Responsibilities * Respond to every new lead within five minutes. * Contact leads by phone call, text message, and email. * Follow our established scripts and follow-up system. * Schedule introductory classes and consultations. * Confirm appointments and follow up with people who do not attend. * Continue following up until the lead schedules, enrolls, or asks us to stop. * Keep all communication and lead information updated in our CRM. * Provide daily reports about calls, appointments, responses, and results. Schedule and Availability * This is a full-time position. * The regular work schedule is eight hours per day. * New leads must receive an initial response within five minutes. * The five-minute response requirement also applies during weekends and scheduled days off. * The Virtual Assistant must keep lead notifications active and be available to send the initial response when a new lead arrives. * After making the initial contact, additional follow-up may be completed during regular working hours. Requirements * Excellent spoken and written English. * Experience with lead follow-up, sales, customer service, or appointment setting. * Comfortable making approximately 30 or more calls per day. * Comfortable using a CRM, text messaging, email, and online communication platforms. * Reliable computer, high-speed internet, and a quiet working environment. * Organized, consistent, positive, and self-motivated. * Able to follow scripts while communicating naturally. * Willing and able to monitor and respond to new leads outside regular working hours. * Experience with martial arts, fitness, gyms, or membership-based businesses is a plus. Performance Expectations Success will be measured by: * Responding to every new lead within five minutes. * Number of calls and follow-up attempts completed. * Appointments scheduled. * Appointment attendance rate. * Lead-to-membership conversion rate. * Accuracy and consistency when updating the CRM.
