About Us We are a growing creative marketing and production company working with brands, businesses, events, and organizations across multiple industries. Our work includes video production, social media marketing, SEO, web design, branding, content creation, advertising campaigns, and creative strategy. We are looking for a highly organized, proactive, detail-oriented person to become a core part of our team long-term. This is NOT a simple admin assistant role. We need someone who can help manage projects, keep clients organized and informed, help manage social media content, assist with creative tasks, and help us implement AI tools into our workflow. Position Overview We are hiring a FULL-TIME Virtual Assistant / Project Manager / Social Media Manager. You will work directly with the owner to help keep projects moving smoothly and ensure clients have a great experience. You will be responsible for: Managing project timelines and deliverables Following up with clients and team members Helping organize production schedules and tasks Managing social media scheduling and posting Assisting with graphic design and content creation Attending client meetings when needed Taking meeting notes and creating action items Helping manage emails and communication Using AI tools like Claude and ChatGPT to improve workflows Helping implement systems and organization across the company This role is ideal for someone who is both highly organized AND creatively minded. Requirements MUST HAVE: Fluent English (written and spoken) Excellent communication skills Strong organizational and project management skills Experience managing social media accounts Experience with graphic design tools (Canva, Adobe, etc.) Experience using project management software Strong internet connection and reliable computer Ability to work U.S. Central Time hours (Monday–Friday, approximately 9am–5pm CST) Ability to attend meetings professionally (great audio and camera) Attention to detail and ability to follow through Proactive mindset — we want someone who solves problems without needing constant direction HUGE BONUS IF YOU HAVE: Experience with ClickUp, Monday, Asana, Notion, or Trello, etc Experience working with marketing agencies or creative companies Experience with video production workflows Experience writing social media captions/content Experience editing short-form content Knowledge of AI tools like Claude, ChatGPT, Zapier, Make, etc. Experience helping build systems and automations Customer service or client communication experience We are NOT looking for: Someone juggling many full-time jobs Someone unavailable during U.S. business hours Someone who disappears or misses deadlines Someone who needs constant micromanagement We ARE looking for: Someone who wants a long-term opportunity Someone dependable and professional Someone who communicates clearly Someone passionate Someone who genuinely enjoys helping organize and improve systems Someone who wants to grow with a company To Apply Please send: Your resume Examples of social media accounts or content you’ve managed Any graphic design examples or portfolio work A short video introducing yourself Your experience with project management tools Your experience using AI tools like Claude or ChatGPT Your availability and timezone Your desired monthly salary IMPORTANT: Start your application with the phrase: “Smooth projects create smooth clients.” This helps us know you read the full job posting.
