Full setup & Integration of AI Tech Stack for Construction Business (Jobtread & QBO included)

Project Overview Andco Construction is a small but growing GC specializing in retail/commercial interior finish-outs. We need an experienced AI/business automation expert to fully set up, configure, integrate, and optimize our complete tech stack. Current AI/Tech Stack • JobTread (project management, job costing, scheduling) • QuickBooks Online (QBO – accounting & financials) • Google Workspace (Drive, Gmail, Sheets, Calendar) • RingCentral AI Receptionist (call handling, transcription, lead capture) • Website (ANDCOGC.com) for lead capture • Zapier (automation layer) • AI Agents: Grok + Claude (Cowork mode for workflows, bidding, content) Scope of Work (Consultant will handle) • Full initial setup and optimization of JobTread and QuickBooks Online (accounts, templates, chart of accounts, custom fields, sample jobs, basic configuration). • Build robust Zapier automations for seamless data flow across all tools. • Fully optimize and customize RingCentral AI Receptionist for construction workflows. • Develop custom templates (bids, job costing, reports, proposals) in JobTread + QBO. • Create advanced AI agent workflows using Grok + Claude for bidding support, automation, reporting, and admin tasks. • Implement end-to-end automated workflows (see below). • Provide complete documentation, SOPs, and training sessions (1-2 Zoom calls). • Test, troubleshoot, and deliver a polished, ready-to-run system. Key Expected Workflows • Website form / RingCentral AI calls → auto lead creation in JobTread + AI qualification. • Call transcription & notes → auto-logged in JobTread / Google Drive. • JobTread project costs & expenses → real-time sync to QBO for invoicing & financials. • AI-assisted bidding, proposal generation, and scheduling. • Automated reporting, alerts, email rules, and archiving. Milestone Payment Structure (Fixed-Price) Payments released upon your approval of each milestone: 1. Audit, Planning & Basic Setup (JobTread + QBO) – 20% 2. Core Integrations & Zapier Automations – 30% 3. AI Workflows, Templates & RingCentral Optimization – 30% 4. Testing, Documentation & Training/Handover – 20% Budget: $3,000 – $4,500 total (milestone-based). Timeline: 1–3 weeks for complete delivery. Requirements • Proven experience with JobTread setup, QuickBooks Online setup/configuration, RingCentral AI Receptionist, Zapier, Google Workspace, and Claude/Grok-style AI tools. • Construction or small GC automation experience strongly preferred. • US-based preferred for time zone (Dallas, TX).
