Summary

We are a U.S.-based mergers & acquisitions advisory and business brokerage firm serving owners of service businesses (cleaning, electrical, HVAC, plumbing, construction, and similar). We are building a calling-first outbound system, and we need the engineer who wires it all together. This is a two-part engagement: a fixed-price build project, followed by a light monthly maintenance retainer for the right person. We already know exactly what we want built. You will receive a detailed written specification on day one, including ICP definition, data sources, table architecture, credit management rules, and acceptance criteria. You are not being hired to figure out our strategy. You are being hired to engineer it well. What You Will Build (Phase 1): 1. List building machine in Clay - Staged Clay tables per our written spec: intake and pre-qualification, company enrichment, owner identification, contact waterfalls, scoring, and CRM push - Multi-provider phone waterfall optimized for mobile numbers and direct dials of U.S. small business owners (this is a calling-first system — phone data quality is the whole game) - Google Maps sourcing, state license board imports, Claygent research steps - Strict credit management: stage-gating, fallback logic, cheapest-first waterfall ordering, batch processing 2. Cold email infrastructure - Sending domains, mailbox setup, warmup, and deliverability configuration in Instantly - Email is the support channel here (pre-call warming and post-call follow-up), not the primary channel — sequences deployed from copy we provide 3. HubSpot pipeline and dispositions - Pipeline stages, call disposition taxonomy, and reporting views for a weekly optimization review - Clean handoff fields so every record reaching our caller is complete (spec defines the required fields) 4. Reply routing automation - Route email replies into predefined buckets with templated handling for our VA, and a hard escalation rule for interested prospects 5. Dialer integration - Connect the scored daily batch from HubSpot to a power dialer (Nooks, PhoneBurner, JustCall, or your recommendation) with dispositions flowing back 6. Documentation - A runbook our VA can execute weekly without your help. The system is not done until someone who is not you can run it. Acceptance criteria are written and measurable. The build is complete when a 200-record pilot batch passes defined thresholds for owner-name accuracy, mobile coverage, bad-number rate, deduplication, and field completeness. Phase 2: Ongoing Retainer (After Successful Build): Approximately 4–6 hours per month: - A weekly 30–45 minute optimization review with the founder (you bring the numbers, he brings market judgment) - Deliverability monitoring, list source refreshes, waterfall and provider tuning based on hit rates - Monthly credit and cost-per-record reporting What We Are Looking For: - Proven, hands-on Clay experience. You have built multi-stage tables with waterfall enrichment for real campaigns, not a tutorial project. You can show us tables you have built (screenshots or a walkthrough on a call, redacted is fine) - Experience with Instantly (or Smartlead) including domain setup, warmup, and deliverability troubleshooting - HubSpot workflows, pipelines, and reporting - Experience supporting cold calling motions, not just email — you understand dialers, dispositions, and why phone data quality is different from email data quality - You think in unit economics: cost per enriched record, cost per mobile number found, credit burn per batch - Clear written English and reliable async communication. You will work with a founder, a VA, and a cold caller
