Summary

We are seeking a highly organized and versatile Executive Virtual Assistant to support multiple businesses. This role requires someone who can manage a wide range of responsibilities, communicate professionally with clients and vendors, and adapt quickly to new tasks. Key Responsibilities: Administrative & Office Support • Manage emails, calendars, appointments, and follow-ups • Prepare reports, spreadsheets, and business documents • Perform data entry and maintain accurate records • Organize files, contracts, invoices, and business information • Assist with research projects and special assignments Payroll & Accounting Support • Assist with payroll processing and employee records • Review timesheets and paystubs • Enter expenses and financial transactions • Reconcile reports and organize accounting documentation • Coordinate with accountants, bookkeepers, and payroll providers Customer Service & Communication • Answer phone calls professionally in English • Respond to emails and customer inquiries • Communicate with vendors, suppliers, contractors, and service providers • Schedule appointments and coordinate services • Follow up on outstanding requests and issues Reporting & Data Management • Create and maintain Excel and Google Sheets reports • Analyze business data and prepare summaries • Track sales, expenses, payroll, and operational metrics • Generate weekly and monthly reports for management Operations Support • Assist with restaurant and business operations • Coordinate with POS providers, internet providers, and software vendors • Help manage permits, licenses, and business compliance requirements • Support project management and task tracking • Handle various business-related research and administrative tasks Qualifications: • Excellent written and spoken English • Strong communication and phone skills • Advanced proficiency with Microsoft Excel and Google Sheets • Experience with payroll, bookkeeping, or accounting support preferred • Strong attention to detail and organizational skills • Ability to multitask and manage multiple priorities • Comfortable learning new software and systems • Professional, proactive, and reliable Preferred Experience: • Virtual assistant or executive assistant experience • Payroll processing and reporting • Customer service and vendor management • Restaurant, hospitality, or service industry experience • Experience with tools such as Google Workspace, Excel, Zoho, Toast, SpotOn, QuickBooks, or similar business software This position requires a dependable self-starter who can independently manage responsibilities, solve problems, communicate professionally, and support daily business operations across multiple departments.
