Detailed oriented,familiar with all types of printing. # Print Production Manager We are looking for a highly organized Print Production Manager to manage print jobs from artwork/prepress through supplier production, delivery, invoicing, and issue resolution. This is a salary-based role that requires **flexible hours**. This is not a fixed 9–5 schedule position. Jobs come in through email, contact forms, and our customer online ordering portal, and the Print Production Manager is responsible for making sure orders are reviewed, processed, and followed up on when they come in. The right candidate must be comfortable working around job flow, supplier deadlines, customer deadlines, rush orders, and international time zones. The majority of our work is short-run digital print, including business cards, postcards, badges, catalogs, brochures, flyers, signage, and other custom print projects. We produce through a global supplier network, so the right person must be able to coordinate vendors, customers, and internal updates across multiple countries and time zones. ## Core Responsibilities * Review incoming artwork and prepare files for production/prepress. * Monitor new orders coming in through email, contact forms, and the online ordering portal. * Place purchase orders with suppliers in Xero. * Update purchase orders with accurate supplier costs. * Confirm supplier pricing, turnaround time, specs, and production details before releasing jobs. * Monitor all active jobs from order placement through delivery. * Make sure every job stays on schedule and hits the required due date. * Send tracking information and job updates to customers. * Invoice completed jobs accurately and on time. * Maintain target margins on all jobs by checking sell price, supplier cost, shipping cost, and rush fees. * Handle production issues including misprints, artwork errors, supplier mistakes, delivery delays, damaged shipments, and customer complaints. * Coordinate reprints, claims, credits, and supplier corrections when needed. * Update the Shopify customer portal with artwork, job details, and order information. * Communicate clearly with customers, suppliers, sales, and operations. * Keep job records organized and updated in the correct systems. * Escalate risks early when a job may miss deadline, lose margin, or have a production issue. ## Schedule and Availability Expectations This role requires someone who is flexible and responsive, not someone looking to strictly adhere to a set daily schedule. Orders and production issues can come in at different times of the day, including outside standard business hours, because we work with customers and suppliers globally. The expectation is that the Print Production Manager manages the workflow based on job urgency, customer deadlines, supplier cutoffs, and production schedules. This is a role for someone who understands that print production is deadline-driven. When jobs come in, they need to be reviewed, processed, quoted, placed, followed up on, and monitored until completion. ## Main Systems Used * Xero for purchase orders, supplier costs, and invoicing. * Shopify for customer portal updates and artwork/order information. * Email and online order portals for customer orders and communication. ## Ideal Experience * Print production, print operations, prepress, or print buying experience. * Strong understanding of digital print, paper stocks, finishing, proofs, shipping, and supplier coordination. * Experience with short-run print jobs such as business cards, postcards, badges, catalogs, brochures, and marketing collateral. * Ability to manage multiple live jobs at once without missing details. * Comfortable working with international suppliers, rush deadlines, and flexible hours. * Strong margin awareness and ability to protect profitability on every order. * Experience using Xero, Shopify, or similar order/accounting systems is a plus. ## Key Success Metrics * New orders are reviewed and processed quickly. * Jobs are produced correctly and delivered on time. * Purchase orders and supplier costs are accurate. * Customer invoices are sent promptly. * Margins are maintained on all jobs. * Customers receive timely updates and tracking. * Production issues are resolved quickly and professionally. * Internal systems are kept accurate and organized. ## Candidate Profile The right person is detail-oriented, accountable, responsive, and proactive.
