๐ง GoHighLevel Automation Expert Needed โ Workflow Build, Integration & Ongoing Support Overview We're a multi-service home services company offering carpet cleaning, window cleaning, house cleaning, and power washing. We're looking for a skilled GHL automation specialist to build and optimize critical workflows, integrate lead sources, and configure an intelligent chatbot: with the potential for an ongoing hourly support role managing our GoHighLevel account. Pay Structure: $100โ$200 per completed task (one-time build work) Hourly rate for ongoing GHL account management (discuss your rate in application) Timeline: ASAP โ initial tasks must be completed within 1โ2 weeks Platforms & Tools Required: GoHighLevel (GHL) โ primary CRM, automation, and chatbot platform Retell AI โ AI voice assistant for automated outbound call sequences Thumbtack Pro โ lead source requiring full GHL integration Google Local Service Ads (LSA) โ already connected to GHL; chatbot configuration needed Automation Tools: We are open to any tool that gets the job done โ Zapier, Make (Integromat), n8n, Pabbly, or native GHL workflows. We care about results, not the tool. Use what you're best at. Task 1 โ Past Customer Reactivation Workflow Goal: Automatically re-engage past customers who haven't been serviced in 6+ months using a year-round follow-up sequence. Requirements: Target: Any contact tagged as "Past Customer" in GHL Sequence: 4 touchpoints per year (once every ~3 months) Messaging: Must be generalized to apply across all 4 services โ no service-specific language Exclusion logic: Customers serviced within the last 6 months must be suppressed until that window passes โ this must be dynamic, not a manual filter Preferred channels: SMS and/or email (advise on best approach) Deliverable: Fully built, tested, and documented GHL workflow with clear logic map Task 2 โ New Lead Follow-Up Sequence (Post-Estimate) Goal: Immediately follow up with new leads the moment an estimate is sent, using a structured multi-touch sequence that escalates to automated AI voice calls. Sequence Structure (12 Total Touchpoints): Window Channel Touchpoints First 24 hours Text + Call 2 total Next 48 hours Text + Call 2 total Next 72 hours Text + Call 2 total After no response Retell AI automated calls Remaining outreach Breakdown: 6 text messages โ service-agnostic templates that work for all 4 services 6 phone calls โ initial attempts by team; remaining escalated to Retell AI if no response All touchpoints must pause/stop automatically if the lead responds, books, or converts Workflow trigger: Estimate sent in GHL Deliverable: Fully built, tested, and documented GHL + automation tool + Retell AI workflow, including SMS templates and Retell AI call prompts Task 3 โ Thumbtack Pro Integration into GoHighLevel Goal: Fully integrate Thumbtack Pro as a lead source so all inbound Thumbtack leads flow automatically into GoHighLevel. Requirements: All new Thumbtack Pro leads must be captured and created as contacts in GHL in real time Leads must be tagged, segmented, and routed into the appropriate pipeline/stage upon entry Integration must be automated โ no manual imports Once in GHL, these leads should trigger the same follow-up and chatbot workflows as other lead sources Deliverable: Working integration (via native connector, Zapier, Make, or webhook), tested with live leads, and documented Task 4 โ GHL Chatbot Configuration (Google LSA + Thumbtack) Goal: Set up an intelligent GHL chatbot to automatically handle inbound conversations from Google LSA and Thumbtack Pro leads. Context: Google LSA is already connected to GHL Thumbtack Pro will be connected via Task 3 We want to use GHL's native chatbot as the primary tool, but are open to recommendations Requirements: Chatbot must handle the initial inbound conversation intelligently โ qualifying the lead, capturing service interest, location, and booking intent Must work across all 4 services (carpet cleaning, window cleaning, house cleaning, power washing) Conversations must feel natural, not robotic Chatbot should be able to answer basic FAQs, capture contact info, and route hot leads for follow-up or booking Must hand off to a human or Retell AI when appropriate Deliverable: Fully configured and tested GHL chatbot flow, with conversation scripts and handoff logic documented Ongoing Role โ GHL Account Manager (Hourly) Beyond the initial build, we are looking for someone to stay on hourly to manage and optimize our GHL account on an ongoing basis. This includes: Monitoring and maintaining all active workflows Troubleshooting issues as they arise Building new automations as the business grows Reporting on workflow performance Keeping integrations running smoothly We want a long-term partner, not a one-time freelancer. If you do great work on the initial tasks, this becomes a recurring role. What We're Looking For Proven GHL automation experience (please share examples or screenshots of past workflows) Experience with Retell AI or similar AI voice tools Experience integrating third-party lead sources (Thumbtack, Angi, etc.) into GHL Strong chatbot/conversation design skills within GHL Proficiency in at least one automation tool (Zapier, Make, n8n, Pabbly, or similar) Clean documentation โ our team needs to understand what was built Fast, reliable communication and turnaround How to Apply To be considered, please include: Examples of GHL workflows or integrations you've built (screenshots, Loom, or case study) Your experience with Retell AI or AI voice tools Your experience integrating third-party lead platforms into GHL (Thumbtack, Angi, etc.) A brief proposed approach for each of the 4 tasks Estimated time to complete each task Your per-task rate and your hourly rate for ongoing support Applications without workflow examples will not be considered.
